Speech Ease Speech Pathology is a well-established, close-knit allied health practice across two Melbourne locations, and we're looking for an Office Manager to join us.

About the Role

This is a part-time (22.8 hours per week), hands-on operational role responsible for keeping our two clinic sites running smoothly. You'll manage compliance, reporting, facilities, systems, and admin team support, and you'll do it consistently and proactively, without needing follow-up.

If you get quiet satisfaction from a well-organised office and operation, nothing falling through the cracks, and reports that are always accurate and on time, this role is for you.

What You'll Get

- Part-time hours across a 3-4 day week; we're flexible on how the hours are structured. You can work within school hours if you wish.
- Above award wages $36-$40 per hour, plus super.
- A clearly defined role where you get to work closely with other admin team members who are client support (reception team)

What You'll Be Doing

- Managing day-to-day clinic operations across both sites: facilities, resources, equipment, vendors, and office presentation
- Keeping clinician compliance current: onboarding documentation, WWC checks, first aid, insurance, and registrations




- Running weekly and monthly reporting: Cliniko dashboards, management plan audits, outstanding invoices
- Supporting and coordinating the admin team day to day
- Owning admin recruitment end to end: from job posting through to first day
- Maintaining and improving operational systems and procedures
- Managing stationery, supplies, and equipment: ordering restocks and keeping the clinics well resourced across both sites
- Monitoring outstanding invoices and keeping debtors within agreed targets
- Approving admin team timesheets and leave
- Coordinating team wellbeing activities such as monthly events, birthday recognition, seasonal celebrations
- Ensuring both sites are OH&S; compliant
- Making monthly visits to North Melbourne to check that the office management is up to date

There is scope for this role to grow for the right person. Training will be provided.

What We're Looking For

- Organised and detail-oriented.
- Proactive: you notice what needs doing before being asked and bring solutions, not just problems
- Reliable and consistent: you hold the same standard in routine tasks every week, not just at the start
- Clear communicator: you keep the right people informed and flag things early
- Comfortable with behind‑the‑scenes work: a smoothly running practice is its own reward
- Experience in allied health, healthcare, or a similar operational setting: familiarity with Cliniko or NDIS is a bonus but not essential.
