ABOUT THE ROLE

As our Maintenance & Service Scheduler | NDIS Coordinator, you will be the operational heartbeat of our Service Division. You will coordinate complex repair schedules, communicate with technicians and clients, and troubleshoot issues over the phone, as well as being the expert "go to" for all NDIS related queries, guidance and compliance questions.

Your organisational skills and customer focus will directly impact client satisfaction and team productivity

This is a full-time, Monday to Friday position, 8:30 am - 5:00 pm, based in our Port Melbourne office.

Key Responsibilities

- Answer incoming service calls and log repair requests accurately in ELMS.
- Conduct initial troubleshooting over the phone to resolve simple issues.
- Schedule technician visits, optimising route efficiency and client preferences.
- Confirm technician visit details with clients 24 hours prior.
- Prepare parts kits for technicians ready for the next day's scheduled jobs.
- Enter completed repairs into ELMS with accurate asset numbers and fault descriptions.




- Record technician job details in ELMS from field reports.
- Process equipment swaps between hire stock and client-owned items.
- Escalate unresolved client issues to the Service Manager.

ABOUT YOU

- Have previous experience in scheduling, service coordination, or a similar role
- Previous experience working within the healthcare, medical equipment, disability services or NDIS sector.
- Possess strong organisational skills and attention to detail
- Be a confident communicator with a qualified phone manner
- Demonstrate proficiency in Microsoft Office and computer-based scheduling systems
- Thrive in a fast-paced environment while maintaining accuracy
- Be able to work collaboratively with technicians, clients, and colleagues
