Student Services & Operations Coordinator
Student Services & Operations Coordinator
Part-time (0.4 FTE initially), with scope to grow
Help create a fulfilling experience for students, educators, interns and clinic clients in a long-established training centre.
The Gestalt Centre is a respected education and professional development organisation based in Carlton North. For more than 30 years we’ve supported the learning and development of gestalt psychotherapists through high-quality training, professional development and community services.
We’re a small, values-led organisation of approximately 10 staff and 12 teaching faculty, operating across three integrated areas:
- Gestalt Therapy Australia – nationally respected psychotherapy training
- ConnectGround – our community counselling clinic and internship program
We’re entering an exciting phase of growth as we continue to strengthen our programs, systems and improve our student experience. This is an opportunity to help shape how a respected training organisation operates into the future while contributing to the development of community of practice.
About the role
This is a varied and rewarding coordination role supporting the smooth delivery of our training programs, internships and other professional development activities.
As a key member of our Operations Team, you’ll become an important point of contact for students and teaching faculty, helping coordinate the learning journey from initial enquiry through to graduation and beyond.
You’ll also coordinate events, maintain learning systems, organise teaching logistics, support faculty, and continually look for ways to improve how we work.
We’re looking for someone who enjoys coordinating activities, improving systems and gradually taking ownership of operational processes.
This role would suit someone who is looking to grow into broader operational responsibility over time.
If you enjoy bringing order to complexity, building positive relationships and making things happen behind the scenes, you’ll find this role both interesting and rewarding.
The person we’re looking for
You’re someone who enjoys helping people while also making systems run smoothly. You are organised, reliable and naturally proactive, with the ability to manage multiple priorities without losing sight of the details.
You’ll probably recognise yourself in many of these qualities:
- Highly organised with excellent attention to detail.
- Warm, approachable and professional in your communication.
- A confident coordinator who enjoys juggling activities and solving problems.
- Calm and adaptable when priorities change.
- Comfortable using technology and learning recent systems.
- Interested in improving processes and finding better ways of working.
- Able to work independently while contributing positively to a team-oriented team.
Experience in administration, training, professional services or another complex service environment will be highly regarded. Experience with CRM systems, learning management systems (such as Moodle) or event coordination is desirable but not essential.
Employment status
Part-time (approximately 0.4 FTE initially),
with scope to increase hours over time depending on organisational needs and the successful candidate’s interests and capabilities.
Hours and flexibility
The role is initially approximately0.4 FTE (around two days per week).
We’re flexible about how those hours are worked and envisage them being spread across the week—for example, shorter or half-day attendance across multiple days—to provide a regular presence for students, faculty and colleagues. Some flexibility to work from home is available.
As the organisation continues to grow, there may be opportunities for the successful candidate to broaden their responsibilities and increase their hours by taking on additional operational coordination work. While the role is initially approximately 0.4 FTE, we are open to discussing future growth with the right person.
Why you’ll enjoy working with us
This is an prospect to join a respected, values-led organisation where relationships matter, and everyone’s contribution makes a genuine difference.
We’re a workplace where people genuinely enjoy working together. We value professionalism, warmth, curiosity and continuous learning in equal measure.
You’ll be joining a supportive and experienced team that values initiative, collaboration and continuous improvement. You’ll have the opportunity to take ownership of your work, contribute ideas, improve systems and play an important role in shaping the experience of our students and faculty.
As the organisation continues to grow, there is genuine scope for the successful candidate to broaden their responsibilities and develop into a larger operational coordination role over time.
Salary
The full-time equivalent salary for this role is $75,000–$85,000 per annum, plus superannuation. The actual salary will be based on the agreed part-time hours (pro rata of FTE salary).
