We are seeking a highly organised and proactive APS4 Executive Assistant to join the Chief Corporate and Commercial Division, providing executive support to two SES Band 1 Branch Managers across the Corporate, Information and Property Services, and Procurement branches.

About the Role
As the Executive Assistant, you will play a pivotal role in ensuring the smooth day-to-day operation of the Branch Managers' offices. You will be responsible for coordinating executive priorities, managing complex administrative tasks, and acting as a key liaison with internal and external stakeholders.
Key responsibilities include:
- Providing high-level executive and administrative support to two SES Band 1 Branch Managers.
- Managing complex calendars, meeting schedules, and travel arrangements.
- Coordinating meetings, preparing agendas, briefing packs, and taking minutes where required.
- Managing correspondence, emails, and confidential documentation with professionalism and discretion.
- Monitoring action items and ensuring timely follow-up on priorities.
- Liaising with stakeholders across the department and external organisations.
- Maintaining accurate records and supporting branch administration.
- Assisting with procurement, finance, and corporate administration processes as required.
- Contributing to the continuous improvement of administrative processes and office efficiency.
To be successful in this role, you will bring:
- Demonstrated corporate administrative experience in a comparable role, or proven experience providing high-level executive support as an Executive Assistant.
- Exceptional organisational and time management skills, with the ability to manage competing priorities.
- Strong written and verbal communication skills with a skilled and customer-focused approach.
- Excellent attention to detail and the ability to exercise discretion when handling sensitive information.
- Strong stakeholder engagement and relationship-building skills.
- Proficiency across the Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Teams.
- The ability to work independently while contributing positively to a collaborative team environment.
Highly Regarded
- Previous experience working within the Australian Public Service or another government environment.
- Experience supporting Senior Executive Service (SES) officers.
