McConnell Dowell is delivering the South Package of the Yan Yean Road Upgrade, a significant infrastructure project designed to improve safety, reduce congestion and enhance connectivity for Melbourne's growing northern communities.
Operating from our project office in the Yarrambat/Doreen area, we are seeking an experienced, highly organised and qualified Office Manager / Personal Assistant to provide trusted support to the Project Manager and Project Leadership Team while overseeing the day-to-day operations of the project office.
This is a varied role that combines executive support, office coordination and stakeholder engagement. As a trusted member of the leadership team, you'll regularly work with confidential commercial, project and people information, requiring a high level of professionalism, discretion and sound judgement.
You'll be a key member of the project team, helping create a professional, welcoming and well-organised office environment while ensuring our leaders have the support they need to focus on successful project delivery.
Just as importantly, you'll be the face of the project office. We're looking for someone who brings exceptional interpersonal skills, enjoys building relationships and takes pride in creating a positive experience for employees, visitors and stakeholders alike.
Key Responsibilities
- Provide high-level administrative support to the Project Manager and Leadership Team.
- Coordinate calendars, meetings, travel, events and key project activities.
- Prepare presentations, reports, correspondence and project documentation.
- Manage office operations, facilities, supplies, visitor reception and onboarding activities.
- Maintain confidentiality while proactively supporting leadership priorities,
team engagement and project communications.
- Welcome visitors and act as the key point of contact for the project office.
About You
- Experience as an Office Manager, Executive Assistant, Personal Assistant or similar role supporting senior leaders.
- Highly organised with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with a professional and confident approach.
- Demonstrated initiative, sound judgement and the ability to work autonomously while anticipating needs and solving problems.
- Proven ability to handle confidential and sensitive information with integrity, discretion and professionalism.
- Adaptable, proactive and team-focused, with experience in construction, engineering, infrastructure or project environments highly regarded.
