Our Orthopaedic practice is looking for a compassionate and experienced administration staff member to join our team (we welcome various industry backgrounds). Our practice mission is to deliver a supportive and empathetic patient journey, ensuring our patients are cared for with the utmost professionalism and attention.
Our Surgeon is established but new to private practice. We envisage our practice growing; therefore in time your hours may increase.
About you:
As the first point of contact, you’ll play a key role in welcoming patients and ensuring a smooth, efficient flow through the practice. Our mission is to ensure all patients feel valued, heard, and the most important patient in our care. Therefore, your customer service skills will only come second to your attention to detail skills. You will be a true gatekeeper to our lovely Surgeon, so that he can concentrate on what he does best – utilising his clinical skills to look after our patients.
We are open to entertaining candidates from different areas of the medical industry (GP, Allied, Physician, Hospital) and administration/secretarial roles from other industries. The main skill set that we require is previous experience in customer care and attention to detail.
This is a role with growth potential for upskilling (up to and including Practice Management), once our practice grows. You will happily utilise your prior work experience (from various industries) in creating and implementing processes and procedures in a private practice setting (training can be provided in these areas if required). You will also have an interest in marketing to our referrers.
Our ideal candidate will have the following:
- Experience in excelling at customer service. Surgical practice experience is viewed highly.
- Excellent communication skills with a positive and friendly manner and can-do attitude
- Skilled appearance and demeanour in writing, in person and on the phone
- Strong attention to detail attributes
- Experience using multiple types of software and enjoy upskilling
- IT savvy – your IT skills are your pride and joy!
- Ability to work independently with initiative and also love being part of a cohesive team
- Constantly takes pride in their work and productivity, who loves to assist and is flexible in times of demand, with a can-do attitude.
- Ability to work well under pressure and to multi-task in a busy environment and fully open to direction to ensure the smooth running of the Practice
Responsibilities will include:
- Welcoming patients into the practice in an efficient, friendly and courteous manner (previous reception/customer service experience from other industries viewed highly)
- Delivering exceptional customer service at all times
- Scheduling and managing patient appointments and assisting with consultation sessions including invoicing, receipting and uploading relevant reports/scans (training can be provided)
- Collecting and entering patient details (training on software can be provided)
- Answering phone calls and enquiries in a timely, professional and friendly manner
- Performing general administrative duties and ad-hoc duties as required for the Surgeon
- Managing Theatre admin duties,
including booking, billing and quoting – full training can be provided if required.

Hours:
Exact days are negotiable:
Week 1
- 8:30am till 5:00pm – 2 x days at Bilinga
- 8:30am till 5:00pm – 1 x day WFH (you will be provided with a laptop and mobile phone)
Week 2
- 8:30am till 5:00pm – 2 x days at Bilinga
- 8:30am till 5:00pm – WFH (you will be provided with a laptop and mobile phone)
- 8:30am till 5:00pm – Lennox Head (you will be paid for your travel time and fuel)
Pay rate: $37.00 - $40.00 per hour plus super
*Please note, the hourly rate for the successful candidate will be contingent upon factors such as relevant experience, required upskilling and any necessary training. The listed rate is intended as a general guide and may be adjusted in accordance with these criteria.
