We are seeking dependable, highly organised and professional Administration Assistants to join our busy automotive workshop in Thornton.
This is an on-site position based at our Thornton workshop.
It is not a work-from-home or remote role.
We have both full-time and part-time positions available, with flexible weekday working arrangements considered for the right applicants.
This is a diverse and important support role working closely with our Service Advisor and Service Manager to help coordinate customers, vehicle bookings, parts, workshop documentation and general administration.
We are offering a generous remuneration package, depending on the successful applicant's relevant experience, skills and demonstrated capability.

About Pink Automotive
Pink Automotive is a busy, growing and customer-focused automotive workshop that has been created as a safe place for women.
We pride ourselves on providing transparent, professional and respectful service while maintaining a supportive, well-organised and productive workplace.
This is not a quiet reception position.
The successful applicant will become an important part of the workshop's daily operations and must be comfortable managing multiple priorities while maintaining accuracy, concentration and professionalism.
Because this role directly supports workshop operations, customers, suppliers and technicians, attendance at our Thornton premises is an essential requirement of the position.

The ability to work on-site at our Thornton workshop during agreed working hours
Minimum Education and Verification Requirements
Applicants must have successfully completed the Higher School Certificate or an equivalent recognised secondary-school qualification.
Shortlisted applicants may be required to provide supporting documentation verifying their education, qualifications and relevant training.

Higher School Certificate or equivalent documentation
School reports or academic transcripts
Certificates, diplomas or degrees
Statements of attainment
Records of relevant vocational or tertiary education
Evidence of any qualifications or training listed in the application or résumé

Key Responsibilities
Your duties will include:
Providing administrative support to the Service Advisor and Service Manager
Answering incoming telephone calls and responding to customer enquiries
Greeting customers and creating a welcoming first impression
Booking customers and vehicles into the workshop
Preparing and processing job cards, invoices and workshop documentation
Entering customer, vehicle and repair information into workshop software
Ordering parts and liaising with suppliers
Monitoring parts deliveries and following up outstanding orders
Processing parts returns, supplier credits and warranty documentation
Updating customers regarding the progress of their vehicles
Maintaining accurate customer and vehicle records
Managing emails and general correspondence
Assisting with accounts, filing and general office administration
Following up customer approvals and outstanding information
Helping coordinate the flow of work between the office and workshop
Performing other administrative duties required within a busy automotive business
General Requirements of the Position
The successful applicant must be able to:
Maintain concentration and accuracy throughout the working day
Safely and reliably perform the requirements of the position
Remain alert, organised and responsive in a busy workshop environment
Manage competing priorities without compromising accuracy or customer service
Attend work reliably and perform duties consistently
Work safely around vehicles, workshop equipment and moving traffic
Perform the role on-site at our Thornton premises
Comply with all workplace health, safety and conduct policies
Work within a completely smoke-free and vape-free workplace
Pink Automotive maintains a smoke-free and vape-free workplace.
Smoking and vaping are not permitted inside the premises, within workshop or office areas, near customer entrances, around customer vehicles or during paid working time.




This position is best suited to a person who is comfortable working in a smoke-free and vape-free environment and who will not require smoking or vaping breaks during their rostered working hours.

Experience
Previous experience in any of the following environments would be highly regarded:
Automotive workshop
Motor dealership
Parts department
Mechanical or trade-based business
Customer service or service coordination role
Busy administration or reception environment
Automotive experience is advantageous but not essential.
Applicants with solid administration skills, excellent computer ability and the right attitude are encouraged to apply.
