About The Role
As Shipping Manager managing a small team, you will be responsible for overseeing the end-to-end importation process, ensuring goods are shipped, cleared, and delivered accurately, efficiently, and on schedule.
Located at our Corporate Head Office Milperra, reporting to the National Business Support Manager, you will work closely with suppliers, freight forwarders, customs brokers, warehouses, and internal stakeholders to coordinate the timely movement of inventory across our eight-branch network.
This is a pivotal role in a fast-paced, deadline-driven environment where strong organisational skills, attention to detail, and the ability to manage multiple priorities are essential.
You will be instrumental in maintaining compliance with import regulations, preparing and reviewing shipping documentation, monitoring freight costs, resolving logistics issues, and ensuring accurate inventory and shipment records.
Key Accountabilities:
Create and manage import shipments within SAP, including shipment costing, cost allocation, record maintenance and status updates.
Prepare, review and collate all import shipping documentation, including bills of lading, commercial invoices, packing lists, certificates and customs clearance documentation.
Coordinate and monitor all inbound shipments, proactively tracking progress and liaising with suppliers, freight forwarders,



customs brokers and warehouses to ensure timely delivery.
Prepare container loading and stuffing plans to optimise freight utilisation and minimise transport costs.
Negotiate and manage freight forwarder and logistics service provider relationships to achieve competitive rates and service outcomes.
Monitor customs and quarantine clearance activities through the Integrated Cargo System (ICS), resolving issues and communicating shipment status to relevant stakeholders.
Verify supplier invoices, packing lists and shipping documentation against purchase orders, identifying and resolving discrepancies.
Coordinate container deliveries and ensure receiving warehouses are kept informed of shipment schedules, arrivals and delivery requirements.
Administer and maintain shipping registers, purchase orders, spreadsheets and other logistics records to ensure data accuracy and compliance.
Manage supplier booking confirmations, shipment amendments, delayed arrivals and customer cancellations, communicating impacts to all affected parties.
Process freight and logistics invoices, ensuring accurate coding and timely handover to Accounts Payable in accordance with contracted rate agreements.
Review overdue orders and shipment exceptions,



investigating issues and implementing corrective actions to minimise delays.
Liaise with customers, suppliers and internal stakeholders regarding shipment status, contract requirements and documentation discrepancies.
About You
You will bring a proactive approach, a willingness to learn, and the following skills and experience:
Previous experience in a similar shipping, logistics or import coordination role
SAP experience would be advantageous, but is not essential
Excellent planning, organisational and problem-solving skills
Strong analytical capability and exceptional attention to detail
Strong communication and stakeholder management skills, with the ability to collaborate
A commercial mindset, with the ability to balance customer service, cost and operational priorities
