Queensland Heart Specialists is seeking an experienced and proactive Practice Manager to oversee the day-to-day operation and continued growth of our private cardiology practice.About Queensland Heart SpecialistsQueensland Heart Specialists is a rapidly growing specialist cardiology practice providing comprehensive cardiac consultation and diagnostic services.The practice currently operates from The Wesley Hospital and is expanding with a new location at Chapel Hill in Brisbane's western suburbs.
We are committed to delivering high-quality, patient-centred care in a professional, compassionate, and supportive environment.About the roleReporting to the Practice Directors, the Practice Manager will provide leadership across practice operations, staffing, financial and medical administration, patient services, systems, business development and growth, and ensure our clinics operate efficiently while delivering an exceptional experience for our patients, specialists, and referring practitioners.This is a hands-on role requiring a capable and approachable leader who can manage competing priorities, support clinicians and staff, strengthen practice systems and help guide the practice through its next stage of growth.
The role will operate across both the Wesley and Chapel Hill locations.Key responsibilities will include:Overseeing the efficient day-to-day operation of the practiceLeading, supporting and developing reception, administration and clinical support staffCoordinating rosters, leave, recruitment,
onboarding and performance processesMaintaining effective appointment, referral, billing, recall and correspondence workflowsOverseeing Medicare and private billing, reconciliations, debtors and financial reporting, ensuring accuracy and complianceEnsuring compliance with healthcare legislation, patient confidentiality, and QHS Company policiesMonitoring revenue, expenditure, staffing and practice capacityImproving systems, technology, procedures and operational efficiencyMaintaining high standards of patient service, privacy, risk and complianceDriving business development initiatives and strengthening relationships with referring practitioners, practice managers and healthcare partners.Supporting referral and business growth, service development and the introduction of new initiativesThe position combines operational management with people leadership, financial oversight, referrer engagement and sustainable practice and business growth and development.About youTo succeed in this role, you will be an organised, collaborative and solutions-focused leader with excellent communication skills and a strong understanding of private medical practice.You will ideally have:Previous experience as a Practice Manager,
senior medical administrator or healthcare operations leaderStrong knowledge of private practice operations and Medicare billingExperience recruiting, mentoring and building high-performing administrative teams.Sound financial administration, reporting and debtor-management skillsExcellent organisational and time management skills, problem-solving skills, prioritisation abilities, and high attention to detailExceptional communication and interpersonal skills with a proactive, positive approach and team-focused attitudeDemonstrated ability to lead organizational change and implement new systems and workflows.The ability to build positive relationships with clinicians, staff, patients and referrersConfidence using practice management software, Microsoft Office and digital systems – experience with Xestro or similar medical practice software would be advantageousExperience in cardiology, specialist medicine, diagnostic imaging, surgery or another multidisciplinary private practice would be highly regarded.What we offerA permanent, full-time senior leadership positionGenuine responsibility for shaping practice operations and future growth and developmentDirect engagement with the Practice Directors in a highly supportive environmentThe opportunity to lead across an established hospital practice and a recent community locationA professional, patient-focused and collaborative workplace with a progressive and exceptional team.Primarily Monday-to-Friday business hoursAn attractive remuneration package reflective of the responsibilities of the role and the successful applicant's experience, to be discussed as part of the interview processTo find out more about us, visit
