About the Role
We are seeking Multiple Administrative Assistant & Client Service Officers to join a high-performing NSW Government organisation supporting vulnerable individuals across a range of legal, financial and guardianship services.
These opportunities sit within several operational teams responsible for frontline customer service, administration, legal support and case coordination.
Depending on your allocated team, you may assist with client enquiries, guardianship and substitute decision-making matters, legal applications, records management, case administration or reception services.
This is a diverse role where no two days are the same.
You'll balance customer interactions with administrative support, manage confidential information, coordinate documentation and contribute to efficient service delivery across busy government teams.
You'll work closely with colleagues, legal professionals, carers, community organisations and members of the public to ensure enquiries and administrative processes are handled professionally and efficiently.
Success in this role requires excellent organisation, empathy, resilience and a genuine passion for helping people.

Administrative Assistant & Client Service Officer – $***** per hour + Super
Location: Sydney & Parramatta, NSW
Working Arrangement: Full-time Onsite (Monday to Friday)
Start Date: ASAP
Duration: up to 6-month contract with strong potential for extension

Key Responsibilities
Act as the first point of contact for clients, visitors and stakeholders through phone, email and reception services.
Deliver professional and empathetic customer service while supporting individuals experiencing complex personal or financial circumstances.
Manage client enquiries and provide accurate information in accordance with established policies and procedures.
Support administrative processes relating to guardianship, legal applications and substitute decision-making matters.
Manage a portfolio of client files or administrative matters while meeting service delivery timeframes.
Maintain accurate electronic case notes, records and confidential documentation.
Perform high-volume data entry with exceptional accuracy and attention to detail.
Scan, digitise and upload large volumes of documents into electronic records management systems.
Print, collate and prepare legal, administrative and client documentation.
Maintain electronic and physical filing systems in accordance with government records management standards.
Retrieve, transport and organise physical files and documents between office locations as required.
Process incoming and outgoing mail, courier deliveries and correspondence.
Prepare letters, reports, meeting papers and general business documentation.
Coordinate meetings, appointments and travel arrangements where required.
Liaise with legal teams, internal specialists, service providers and external stakeholders to support case progression.
Handle sensitive and emotionally complex enquiries with professionalism, empathy and sound judgement.
Assist with research, reporting and continuous improvement initiatives.
Navigate multiple government systems while managing competing priorities in a fast-paced environment.
Ensure compliance with relevant legislation, privacy obligations, policies and administrative procedures.
Contribute positively to a collaborative, supportive and customer-focused team culture.
About You
You are an organised and customer-focused administration professional who enjoys helping people while maintaining high standards of accuracy and professionalism.
You work well under pressure,



communicate confidently with diverse stakeholders and are comfortable managing multiple priorities in a busy environment.
Qualifications
To be successful, you will demonstrate:
Previous experience in administration, customer service, client services, reception, contact centre or case support environments.
Excellent verbal and written communication skills.
Strong organisational and time management skills with the ability to prioritise competing workloads.
High attention to detail and accurate data entry skills.
Experience managing confidential or sensitive information professionally.
Strong customer service skills with the ability to build rapport and manage difficult conversations respectfully.
Confidence using Microsoft Office Suite and learning new computer systems quickly.
Sound problem-solving skills and the ability to exercise judgement within established procedures.
Emotional resilience and professionalism when supporting vulnerable individuals.
Ability to work independently while contributing to a collaborative team.
A positive attitude, willingness to learn and commitment to delivering quality service.
Physical capability to undertake regular scanning, filing, archive retrieval and movement of document trolleys between office locations throughout the day.
Highly regarded experience includes
NSW Government or broader public sector administration.
Legal administration or court support.
Community services, disability, aged care or NDIS.
Financial services, banking, insurance or wealth management administration.
Records management or document control.
High-volume scanning and document digitisation.
Reception or front desk administration.
Contact centre or high-volume customer service.
Case management or client coordination.
Supporting vulnerable or disadvantaged clients.
