Virtus Specialist Day Hospitals form a network of day hospitals across the east coast of Australia extending into Queensland, New South Wales, Victoria, and Tasmania.What we're looking forWe're seeking an experienced and motivated Administration Team Leader to oversee the effective running of our administration services, including Reception, Medical Records, invoicing, and broader administrative functions.
This leadership role suits someone with strong operational oversight, a commitment to high‐quality service, and the ability to guide and develop a diverse administration team.What you'll be doingLead, supervise, and support the administration team, ensuring service quality and efficient daily operationsProvide ongoing mentoring, training, and performance appraisalsManage administrative staffing levels in line with organisational needsMaintain comprehensive knowledge of all administrative tasks to provide training and backup supportOversee patient billing, health fund contracts, prosthesis billing, daily receipting, and aged debtors managementEnsure accurate and timely completion of all daily, weekly, monthly,
and annual reportingMaintain high standards in Medical Records management and complianceManage office supplies, petty cash, credit card receipts, and coordination of IT systems and contractorsBuild and maintain strong relationships with doctors and practice managers, including monthly updates and theatre availability communicationsAddress customer issues and complaints in collaboration with the Director of NursingSupport quality improvement, benchmarking activities, and accreditation processesLiaise with building management on property matters and maintain security/access systemsProvide general reception support as needed and coordinate meals for patients and health practitionersAssist with special administrative projects as requested by the Executive TeamAbout youMinimum 5 years' experience across administrative and hospital reception functionsDemonstrated leadership experience within a team environmentStrong knowledge or experience in:HR management principlesWorkplace Health & Safety legislationQuality Improvement processesMedical Records administrationPrivate hospital fees, contracts, and invoicingNational Safety & Quality Health Service Standards (desirable)Excellent organisational, time management, and decision making skillsExceptional customer service and communication skillsHigh level of computer literacy and ability to manage administrative systemsProfessional, proactive, and solutions focused approachWhat we offerAt Virtus Specialist Day Hospitals, we are committed to supporting our employees' well-being and professional development.
