The Treatment Coordinator plays a crucial role in our practice and patient journey by managing the sales and financial aspect of patient consultations and sign-up conversions, providing comprehensive treatment plans, and driving the sales process to close implant leads through various methods of financing.
This position requires a combination of exceptional sales acumen, strong communication skills and a willingness to learn the ins and outs of a clinical setting.Key ResponsibilitiesPatient ConsultationsWelcome and greet patients warmly, showing empathy and curiosity for each patientAssist in explaining treatment plans and procedures as set by the dentist, in particular the financial aspects of treatmentGuide patient through hospital admissions applications and data collection for General Anaesthetic screeningExplain and guide patients through their tailored financial options, close the deal and ensure a high sales conversion is maintainedTreatment CoordinationWork closely with our in-house bookings department and patient concierge to map out patient journeys involving surgical appointments and related appointmentsMaintain relationships with third-party financing partners to ensure seamless processes for patients who are accessing finance assistance for treatmentMaintain ongoing relationships with the patient pre-surgery to ensure their finance applications and clerical needs are thoroughly completed ready for bookingFollow-Up and CRMActively seek to close current business through paid and organic sales channels and follow-up with previous consultation patients who have not yet convertedAchieve monthly and quarterly sales targets, helping colleagues where necessary to achieve team goalsMaintain a healthy inbound/outbound call and e-mail schedule to boost follow-up conversionAdministrative DutiesMaintain accurate patient records and documentation, including sensitive health recordsEnter data across digital platforms to ensure accurate financial housekeeping and sales pipeline maintenanceMaintain regular patient contact logs and accurate notes regarding conversations, changes in treatment, changes in financial capacityProcess financial arrangements and assist with insurance claims as neededEnsure compliance with all regulatory and practice policies.Education and ExperiencePrevious experience in a dental or healthcare setting preferred but not necessaryProven track record in sales or customer-facing service roles with a conversion componentWillingness to learn and expand knowledge of dental terminology and implant procedures is a plusSkills and AttributesStrong sales and negotiation skills with a focus on closing leadsHunger to learn and excel in a unique sales environmentHighly motivated self-starter who is willing to work independently within a large teamExcellent communication and interpersonal skills, including empathy and attention to detail in a health-centric settingAbility to build rapport with patients and create a positive clinical experienceDetail-oriented with strong organisational abilities and an eye for dataProficiency in dental practice management software and Microsoft Office Suite an advantage, willingness to learn a mustBe careful - Don't provide your bank or credit card details when applying for jobs.
