Remarkable Minds Psychology is an award-winning child and family psychology practice based in Kogarah, with consultants also travelling Sydney-wide for school-based and in‐home services.
We provide therapy, assessments and behaviour consultations to children, adolescents and families, built on a simple belief: every family deserves a truly remarkable standard of care.
We're a growing practice, and we're now looking for an Administrative Assistant who shares that same commitment to excellence.About the RoleAs our Administrative Assistant, you'll be the first point of contact for our families and play a key role in shaping every client's experience with the practice.
This is a fast‐paced, varied role that requires sound judgement, initiative, and the ability to manage changing priorities with confidence.
Working closely with Management and our clinical team, you'll support clients throughout their journey, from their initial enquiry through to ongoing appointments, billing, and day‐to‐day administrative support.Your key responsibilities will include:Answering calls and emails with a friendly, professional manner and managing client enquiriesDiary and calendar management, including booking and coordinating appointments across our clinician teamProcessing NDIS service bookings, funding administration and billing through ZandaManaging invoicing and receipting of consultations, and following up outstanding paymentsLiaising with clients, support coordinators,
plan managers and schoolsGeneral administrative support, filing and maintaining accurate client recordsAssisting with the professional presentation of the practiceSupporting Management with day‐to‐day tasks as neededAbout You We're looking for someone who takes real pride in their work, with the accuracy and organisation to match.
You'll thrive in this role if you have: Excellent customer service skills with a warm, professional phone and email manner Solid organisational skills and the ability to manage multiple priorities High attention to detail and accuracy Confidence using Microsoft Office and practice management software (experience with Zanda is an advantage, not essential) The ability to work independently while contributing to a small, supportive team Sound judgement, problem‐solving skills, and the ability to stay calm and think on your feet in a fast‐paced environment Experience with NDIS administration and billing is highly regarded but not essential, as full training will be provided What We Offer A supportive, people‐first culture that takes pride in doing things properly A beautiful, modern clinic space Ongoing training, mentoring and support The opportunity to grow with a practice that's building a strong reputation in the community Flexible part‐time (approx. ***** hrs/week) or full‐time hours for the right candidate
