Reporting to: Receptionist & Office Services CoordinatorABOUT THE ROLEWe are looking for a proactive and personable Receptionist to join our front-of-house team and provide essential support to our Receptionist & Office Services Coordinator.
This is a fantastic opportunity to work within a dynamic legal firm, contributing to the smooth daily operations across our national offices.Our office hours are from 8:00AM to 6:00PM, We have two shifts being 8:00AM-4:30PM and 9:30AM to 6:00PM which are shared and alternated between our Reception & Office Services Coordinator and Receptionist.You will be a key point of contact for clients, staff, and external stakeholders, ensuring a professional and welcoming environment at all times.THE ROLEReception & Client Services – Daily core tasks and responsibilitiesAnswer and manage incoming calls across our 3 national offices, directing calls to the appropriate Colleagues or Practice GroupWarmly greet clients and visitors, ensuring a professional and welcoming first impressionManage the Reception email inbox, including timely distribution of court-related correspondenceCollect and distribute daily incoming mail and coordinate outgoing mail and couriersMaintain meeting room bookings and ensure all 3 conference rooms are presentation-readyUpdate the company intranet daily with staff movements and availabilityOrganise catering for firm events, meetings, and celebrationsMaintain cleanliness in our reception area, kitchens, and stationary areas.Organise online weekly grocery orders,
ensuring we have sufficient quantity for all staff across the working week.Office & Administrative Support – When required/as needed basisAssist with stationery ordering, printer maintenance, and general office suppliesAssist with onboarding new staff, including hardware setup, induction plans, and building accessHelp coordinate IT-related queries and liaise with the IT support providerAssist with maintaining the asset register for laptops, monitors, and office equipmentSupport building management liaison for maintenance, access cards, and facility issuesABOUT THE CANDIDATEStrong interpersonal skills with the ability to engage with a wide range of stakeholdersExcellent written and verbal communication skillsHigh attention to detail and strong organisational abilitySelf-motivated and able to work both independently and as part of a teamReliable, punctual, and skilled in presentation and approachComfortable managing multiple tasks in a fast-paced environmentProficiency with Microsoft Office and general computer literacyPrior experience in a receptionist, administrative, or corporate services roleHigh level of discretion and confidentialityThis role is ideal for someone who wants to be part of a collaborative and supportive team and enjoys setting a great first impression, front of house client facing role and the daily requirements of reception.THE FIRMWilliam Roberts Lawyers is an award-winning commercial dispute resolution and litigation law firm with offices in Sydney, Melbourne, Brisbane and Singapore.
