With a progressive approach to our roles in commercial business, thinking creatively and pragmatically to support our clients, we are energetic, entrepreneurial and leaders in our specialist areas.In Australia, we have 4 offices in Brisbane, Melbourne, Sydney and Perth and around 220 team members.The RoleWe are seeking a Junior Legal Assistant to join our team in Sydney on a 12 month fixed term contract to provide assistance and administrative support to the secretaries and fee earners with tasks that include file opening and archiving, Compliance & CCLs, hard copy filing, copying & scanning, billing overflow, organising mail, running errands, banking and reception relief.
This role assists in the achievement of the HFW objectives by assisting legal staff and secretaries through practice management activities such as billing, filing and diarising.Your key tasks and responsibilities will include:Practice ManagementOrganising travel arrangementsOpening new matters and following Risk & Compliance proceduresDrafting Client Care LettersDrafting and preparing billsOrganising and confirming client meetings and eventsKeeping records up to date,



including client database (InterAction)Monitoring files and managing close/archive processCompleting expense reconciliation via Chrome RiverPreparation of DocumentsProducing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphicsPerforming legal researchCommunicationHanding calls for the teamLiaising with clients, maintaining and develop relationshipsReception & Office AdministrationProviding Reception cover and support in busy periods alongside the Receptionist.
This may include:Ensuring front of house and meeting rooms are maintained to a high professional standardWelcoming clients and visitors, and assisting with visitor passes as requiredManaging incoming calls in a professional manner and taking accurate messages as requiredAssisting with meeting room bookings, set-up and pack-downAssisting with functions and events such as producing attendee lists and name tags, greeting of guests, and other ad hoc requestsOrdering stationery, office supplies and amenitiesConducting any other ad hoc duties as requiredQualification, Key Skills & Experience RequiredExperience in an administrative role within a professional services environmentStrong professional communication (both written and verbal)Ability to liaise with people at any levelAbility to maintain and build client relationshipsExceptional attention to detailHighly organisedWillingness to learn and share own knowledge
