Reclaim Solar Energy is seeking a reliable, proactive and highly organised Office Administrator to join our growing solar and energy solutions team based in Edgeworth.
This role is available as either a full-time position or a school-hours role; however, the successful applicant must be available to work 5 days per week from our office.
This role is a unique role.

We are looking for someone to join our team and support each of our departments in a multitude of tasks.
About the Role
You will look directly with each department (HR, Finance, Sales & Marketing, Admin and the Field Crews), you will assist with the day-to-day administration requirements of a busy solar and electrical business.
You will play an important role in keeping internal processes organised, supporting job flow, maintaining accurate records and ensuring key tasks are followed through.
The successful applicant will need strong time management skills, a proactive approach, good attention to detail and the ability to work across multiple departments when required.
Key Responsibilities
Your duties may include but are not limited to:
Finance Administration
Assisting with end-of-month statement checks in Xero
Sending bills and documents from email to Xero
Entering receipts and expenses
Assist in managing the accounts email and distributing as required, or actioning where appropriate
Providing accounts support and coverage during leave periods or busy end-of-month processing
Assisting with entering bills, invoices and overflow finance administration tasks
As you grow in your experience we will increase the tasks within your charge
General Administration and Job Administration
Maintaining the vehicle register
Coordinating vehicle service bookings, repair bookings, registration renewals and vehicle checklists
Assisting with insurance claims, reports and supporting documentation
Scanning, filing and maintaining records such as toolbox meetings, vehicle checks and job documents
Completing system checks and following up missing documents, signatures and compliance information daily
Assisting with follow-up information for unfinished jobs and re-bookings
Answering phones, handling service enquiries and creating service call logs
Completing monthly audits of open jobs and tasks
Maintaining testing, tool and equipment registers, including arranging servicing and repairs
Preparing customer handover packs
HR and Team Support
Creating and maintaining staff training records, coordinating training as required
Assisting with payroll preparation
Providing leave coverage and support for other administration team members when required
Sales and Marketing Support
Assisting with customer enquiries and lead follow-up
Helping qualify leads and pass information to the relevant team member
Booking site inspections
Supporting basic marketing tasks, such as Facebook messages, customer responses and passing enquiries through to the right person
Assisting with occasional events where required
About You
Essential Criteria:
Minimum 4 years experience in an administrative role or similar
Minimum 4 years in any Finance role
Solid attention to detail
Experienced with Xero
Highly organised with strong time management skills
Reliable, honest and accountable
Able to work autonomously and follow tasks through to completion
Proactive and willing to take ownership of your work
Able to think on your feet and problem-solve
Comfortable working in a busy, growing business
Adaptable and open to growth, change and process improvement
A strong team player who is willing to support others when needed
Professional in your communication with customers, suppliers and team members
Accurate with data entry, record keeping and general administration
Must have reliable transport
Must have valid working rights in Australia
Desirable but not Essential Criteria
Experience in Service M8 or other scheduling software
Experience in hands on Finance and HR department work
Experience working in a trade or construction environment
Experience using Google Team Programs (drive, sheets etc)
