Role Description
The Office Administrator will support the day-to-day administration of Healthyroo and our manufacturing services business.
This is an office-based position, and applicants must be able to work from our office in Greater Western Sydney.
The role will help keep the office organised, maintain accurate business records and coordinate communication between customers, suppliers, production staff and management.
We are looking for someone who is well educated, highly organised and genuinely knowledgeable about the health and wellness industry.
The successful candidate should have a strong understanding of social media, emerging consumer trends and the broader holistic health market.
This person should be comfortable researching new products, ingredients, brands and market trends and using that knowledge to support the administrative, customer service and marketing functions of the business.
Key Responsibilities
Managing incoming phone calls, emails and general business enquiries
Preparing quotations, purchase orders, invoices and customer documents
Maintaining digital filing systems, customer records and administrative databases
Assisting with customer orders, manufacturing projects and delivery coordination
Communicating with suppliers regarding ingredients, packaging,
pricing and delivery timeframes
Supporting production scheduling and ensuring required documents are available before manufacturing
Coordinating freight, couriers and domestic or international shipments
Assisting with stock records, office supplies and equipment requirements
Preparing reports, spreadsheets, presentations and meeting notes
Scheduling meetings and maintaining management calendars
Supporting the onboarding of new manufacturing clients
Collecting product, packaging, artwork and compliance information from customers
Assisting the quality and manufacturing teams with specifications, certificates, batch records and supporting documents
Following up with customers, suppliers and internal team members regarding outstanding actions
Monitoring social media, health and wellness trends, competitor activity and emerging product categories
Assisting with social media planning, basic content coordination and marketing administration
Researching ingredients, products, brands and developments within the holistic health market
Supporting projects, events, trade shows and business travel
Maintaining confidentiality and ensuring the office operates efficiently and professionally
Qualifications and Experience
Must be available to work from an office in Greater Western Sydney
A strong educational background, ideally with tertiary qualifications in business, marketing, health sciences, nutrition, communications or a related field
Previous experience in office administration, customer service, operations support,
marketing administration or a similar role
Genuine knowledge of and interest in health, wellness, nutrition and holistic health
Strong understanding of social media platforms, digital content and current consumer trends
Ability to identify emerging trends across supplements, functional foods, wellness products and lifestyle brands
Robust organisational and time-management skills
Excellent written and verbal communication
High attention to detail and confidence working with numbers, documents and spreadsheets
Proficiency with Microsoft Office or Google Workspace, including Word, Excel, Gmail and Google Drive
Ability to prepare professional emails, quotations, reports and customer documents
Confidence communicating with customers, suppliers and internal production teamsAbility to research unfamiliar products, ingredients and market categories
Ability to manage multiple priorities and follow up tasks without constant supervision
Experience in food manufacturing, supplements, consumer goods, logistics or e-commerce would be advantageous
Experience with social media coordination, Canva, content planning or digital marketing would also be beneficial
