This Role:Focuses on accounts payable, accounts receivable, and general administration functions to ensure productive property management administration.
An Overview of the role:
Accounts Payable
Process invoices for payment, ensuring accuracy and timeliness
Set up new suppliers in the system
Manage purchase orders and track payments
Reconcile processed work and maintain historical records
Manage petty cash and corporate credit card expenses
Accounts Receivable
Issue copies of tax invoices and statements to tenants upon request
Collect and process rent payments, including follow-up on late payments
Assist the SML team with managing the casual mall leasing bookings
Assist the Retail Manager with reconciling tenant accounts
Process tenant recoveries (e.g. utilities, outgoings, Cat 1's)
Assist with arrears management and reporting
Assist the Retail Manager in preparing monthly financial reports and client reporting
Support budget and forecast preparation
Assist the Marketing Manager in collating sales figures from tenants
Process rent reviews and update billing details
Assist the Retail Manager with outgoings reconciliations and adjustments
Assist with annual audit processes
Lease Administration
Maintain accurate lease registers and tenancy schedules
Assist the Retail Manager with the process of lease assignments (LAAFS)
General Administration
Assist the Team with customer service
Manage office supplies and stationery orders
Maintain filing systems and records (Sharepoint)
Support Centre Manager, Retail Manager, Operations Manager, and Marketing Manager as needed
Reporting
Prepare and distribute various reports (e.g., arrears, occupancy, financial performance)




Assist in compiling monthly client reports and annual business plans

Knowledge of lease administration processes
Experience with property management software (e.g. MRI) highly desirable
Exceptional communication and multitasking skills
Strong organizational and time management abilities
Attention to detail and high degree of accuracy
