This is afull-time positionthat plays a crucial role in delivering exceptional patient experiences and ensuring the smooth operation of our medical practice.
As the first point of contact for our patients, you will be instrumental in setting the tone for their visit and supporting the clinical team to provide high-quality healthcare services.
This role is essential to our operations, requiring someone who can manage multiple priorities whilst maintaining a professional and compassionate approach to patient care.
Key responsibilities
Greeting patients upon arrival and managing the reception area to create a welcoming and professional environment
Scheduling appointments efficiently using medical practice management software, ensuring optimal use of clinician time
Processing patient registrations and maintaining accurate medical records in compliance with privacy legislation
Handling telephone enquiries and directing calls to appropriate staff members or services
Processing payments, managing invoices and maintaining financial records with accuracy
Coordinating patient referrals to specialists and managing follow-up communications
Restocking supplies and maintaining the reception area to ensure it meets health and safety standards
Supporting the clinical team with administrative tasks such as preparing patient files and assisting with patient flow
Demonstrating knowledge of medical terminology and procedures relevant to the practice
Providing compassionate support to patients, particularly those who may be anxious or unwell
What we're looking for
Proven experience working as a medical receptionist in a busy healthcare setting, preferably in a general practice or medical clinic
Strong proficiency with medical practice management software and electronic health records systems
Excellent organisational and time management skills, with the ability to manage multiple tasks simultaneously




Outstanding customer service and communication skills, both written and verbal
Demonstrated ability to maintain patient confidentiality and comply with privacy legislation, such as the Privacy Act
Proficiency in Microsoft Office applications and general computer literacy
A professional, calm demeanour with the ability to handle difficult situations with sensitivity
Knowledge of medical terminology and understanding of healthcare administrative processes
Ability to work independently and as part of a collaborative team
A commitment to maintaining high standards of hygiene and health and safety protocols
Preferably, qualifications in medical administration or reception, or completion of relevant training courses
