Hobartville Long Day Preschool is seeking an organised, proactive and professional Administration Officer to support the day-to-day operations of our not-for-profit Preschool.
This role is ideal for someone who has strong financial administration skills and is passionate about supporting children, families and educators within their community.
About the Role
Reporting directly to the Director, the Administration Officer plays a key role in ensuring the smooth operation of the preschool's administrative, financial and enrolment systems.
This position requires a highly organised individual who can work both independently and collaboratively while maintaining excellent customer service and attention to detail.
The ideal candidate will demonstrate advanced computer skills, including proficiency in Microsoft Excel and Word, with strong critical thinking, problem-solving and analytical abilities.
This position is part-time, offering flexibility in your working hours.
Key Responsibilities
Finance & Payroll
Managing accounts payable and accounts receivable
Payroll processing and payroll compliance
Bank and account reconciliations
Maintaining accurate financial records using Xero
Month-end financial reporting
General administrative duties related to finance
Supporting families with billing and CCS enquiries.
Administration
Supporting enrolments, waitlists and family records
Responding to family enquiries via phone and email
Ordering office supplies and conducting stock audits




Supporting business continuity planning and documentation
About You
Minimum 2 years' experience in an administrative role
Minimum 2 years' experience in accounts payable and receivable
Proficiency in Microsoft Office, particularly Excel
Previous payroll processing experience
Robust communication and customer service skills
Excellent attention to detail and high level of accuracy
Ability to maintain strict confidentiality
Hobartville Long Day Preschool is committed to child safety, and as such, all successful applicants:
Must hold a current Working with Children Check or be willing to obtain one and must also complete Mandatory Child Safety training as part of the induction process.
Certificate IV in Business Administration, Business Studies or a related field preferred but not required
Experience using Xero
Experience using Xplor
Understanding of mandatory reporting requirements in early childhood education
Previous experience within an early childhood education and care service
Understanding of Fair Work Awards and payroll compliance
