The Catholic Diocese of Bathurst is inviting applications for the role of Parish Secretary at the Parish of St Patrick and St Francis Xavier, Lithgow.
This position offers an opportunity to make a valued contribution to the life and mission of the Parish by providing welcoming, efficient and professional administrative support to the Parish Priest, parishioners, ministries and volunteers.
The Parish Secretary is often a key point of contact for the Parish and plays an important role in fostering a warm and welcoming environment.
The successful applicant will support the effective operation of the Parish Office through a broad range of communication, administration, financial, compliance and property-related responsibilities.
This role would be well suited to an experienced and highly organised administrator who has strong interpersonal skills, an understanding of parish life and a genuine commitment to the mission, practices and values of the Catholic Church.
The successful applicant will work closely with the Parish Priest, Parish staff, volunteers, schools and the broader Diocesan community.
Key Responsibilities
The Parish Secretary will:
Welcome visitors and respond warmly and professionally to telephone, email and in-person enquiries
Manage Parish correspondence, appointments, bookings, office diaries, rosters and records
Prepare and distribute Parish communications, including the weekly bulletin and information about liturgies, sacramental celebrations, news and events
Maintain sacramental registers, parishioner information, filing systems and other Parish records
Prepare correspondence, meeting agendas, minutes, booklets, flyers, spreadsheets and other documents
Provide administrative support to the Parish Priest, Parish Council,
Finance Committee and other Parish groups
Process accounts, donations and banking and complete monthly bank reconciliations
Administer the Planned Giving Program and special appeals
Assist with the coordination and recordkeeping requirements of Parish volunteers
Liaise with Parish schools, Diocesan agencies, contractors and community organisations
Coordinate property maintenance and ensure contractors meet relevant insurance and registration requirements
Support the Parish's compliance with Diocesan policies, safeguarding requirements and relevant legislation
Essential Requirements
Applicants should ideally demonstrate:
A strong commitment to the mission, practices and values of the Catholic Church
Experience accurately performing a broad range of administrative duties
Knowledge of bookkeeping or accounting processes, including accounts payable, accounts receivable, banking and bank reconciliations
Proficiency in Microsoft Office and contemporary computer applications
Excellent organisational, time-management and problem-solving skills
Strong written and verbal communication skills
The ability to build positive working relationships with clergy, parishioners, staff, volunteers and other stakeholders
The ability to work autonomously, manage competing priorities and maintain confidentiality
An understanding of Catholic parish communities and the sensitivities involved in working within a Church workplace
Eligibility to work in Australia
A current driver's licence
The preferred applicant will be required to undergo a Nationally Coordinated Criminal History Check before commencing employment.
Where the position involves child-related work, a valid NSW Working with Children Check will also be required.
