Experienced Home Care Scheduler
Come and make the Poppy's difference.
At Poppy's Home Care, we believe home care should feel exactly that — caring.
We are a proudly family-owned, nurse-led home care provider supporting older people to continue living safely, confidently and independently in their own homes.
Our growth has been driven almost entirely by recommendations from our clients, families and local community.
As we continue to grow, we are looking for an experienced Home Care Scheduler to join our friendly team in Secret Harbour.
This is much more than filling gaps in a roster.
At Poppy's, scheduling is central to the experience of our clients and Home Care Team Members.
It is about getting to know people, understanding what matters to them, maintaining continuity wherever possible and ensuring that changes are communicated clearly and followed through.
If you are an experienced scheduler who cares about the people behind the roster, we would love to hear from you.
The role
As our Home Care Scheduler, you will coordinate community-based services and help ensure our clients receive reliable, consistent and well-organised support.
You will work closely with our clients, families, Home Care Team Members, Care Partners and leadership team.
You will manage changing priorities throughout the day while remaining calm, organised and focused on finding the best possible solution.
Your responsibilities will include:
Coordinating and scheduling home care services across the community
Matching Home Care Team Members with clients based on needs, availability, location and compatibility
Managing cancellations, leave, roster changes and urgent service requirements
Communicating schedule changes clearly with clients, families and team members
Supporting Home Care Team Members

Working closely with Care Partners to respond to changes in client needs
Maintaining accurate schedules, client information and documentation
Assisting with telephone enquiries and general administration
Supporting the wider team during busy periods
About you
You will understand that behind every service on the schedule is a client relying on us and a team member who needs explicit, accurate information.
You will be a natural problem-solver who can manage competing priorities without losing sight of the people involved.
You will communicate warmly, take ownership of tasks and follow matters through to completion.
To succeed in this role, you will ideally have:
Previous scheduling or rostering experience, preferably in home care, aged care, disability or community services
A practical understanding of the SCHADS Award and its application to workforce scheduling
Strong organisational and time-management skills
The ability to manage frequent changes while maintaining accuracy
Excellent communication skills and a warm, professional approach across telephone, text and email
The confidence to have clear and respectful conversations with clients and team members
Strong problem-solving skills and the ability to remain calm under pressure
Excellent computer literacy and confidence working across multiple systems and screens
Experience using Microsoft Outlook, Teams and Microsoft Office
Fast and accurate administration and data-entry skills

A proactive approach and a willingness to support the wider team
A genuine commitment to continuity, communication and exceptional client care
Experience scheduling within the home care sector will be highly regarded.
Why join Poppy's?
Poppy's is growing, but we are determined not to lose the personal approach that makes us different.
You will join a close-knit team where your ideas are welcomed, your contribution is noticed and the decisions you make each day have a genuine impact on our clients and Home Care Team Members.
We offer:
A supportive, approachable leadership team
The opportunity to support a genuinely happy and well-supported group of clients
A family-owned and nurse-led working environment
A role where you can make a visible difference every day
The opportunity to help shape scheduling processes as we continue to grow
A friendly, collaborative team that values communication and follow-through
The opportunity to do your best work every day and bring the Poppy's difference to life
Recruitment process
Shortlisted applicants will be invited to complete online Microsoft Office and administration assessments.
This will help us understand your computer literacy, typing proficiency, attention to detail and ability to navigate multiple systems.
Ready to experience the Poppy's difference?
If you are an experienced scheduler who takes pride in supporting clients, helping team members succeed and creating positive experiences through great communication and organisation, we would love to hear from you.
Please submit your resume together with a short cover letter explaining:
Your previous scheduling or rostering experience
