As the first point of contact for the B. Moses Group, this role is responsible for creating a welcoming, professional and positive experience for every client, visitor and staff member.
Reporting to the Group Operations Manager, you will primarily manage our central reception while providing general administrative and office support across the Group. This role suits someone who enjoys working with people, takes pride in delivering exceptional customer service and is happy to assist wherever needed to keep the office running smoothly.
This is a varied role with a robust customer service focus, supported by a range of administrative duties that contribute to the day-to-day operations of the business.

KEY RESPONSIBILITIES
Welcome clients and visitors in a warm, professional and confident manner.
Manage the Group's central phone system and direct enquiries appropriately.
Manage meeting room bookings and preparation.
Prepare meeting rooms for client meetings.
Offer refreshments to visitors.
Coordinate visitor access and ensure a premium client experience.
Manage incoming and outgoing mail, deliveries and couriers.
Maintain a professional and welcoming reception area at all times.
OFFICE SUPPORT
Assist in maintaining office presentation and shared spaces.
Order and manage office supplies, stationery and kitchen amenities.
Liaise with building management, cleaners and maintenance contractors where required.
Coordinate office repairs and maintenance requests where required.
Coordinate catering for meetings and internal functions where required.
Assist with onboarding logistics for new employees (workspace setup, office access, welcome packs etc.).
Help identify opportunities to improve office systems, processes and efficiencies.
CULTURE & EMPLOYEE EXPERIENCE
Coordinate internal staff announcements including birthdays, employment anniversaries, new starters, and other milestones.
Arrange cards, gifts or acknowledgements for significant occasions where appropriate.
Participate as a member of the Group Events Committee, assisting with the coordination of internal events and initiatives.
Help foster a positive, welcoming and engaging workplace culture.
ADMINISTRATIVE SUPPORT
Provide general administrative support to senior leadership and management on an ad hoc basis.
Assist with document preparation, scheduling and coordination as required.
Maintain electronic filing systems and administrative records.
Assist with various business-wide administrative projects as required.
MARKETING SUPPORT
Provide administrative assistance to the Marketing team as required.
Assist with coordinating marketing-related activities such as uniforms, business cards, promotional materials and office fit-outs where requested.
Support marketing projects and campaigns from an administrative perspective as required.
Experience using Canva is highly regarded, but not essential.
SKILLS & EXPERIENCE
Previous experience in reception, office management or office coordination.
High level of professionalism and personal presentation.
Strong organisational and time management skills.
Excellent attention to detail.
Ability to prioritise competing tasks.
Strong problem-solving skills.
High level of initiative.
Ability to work independently with minimal supervision.
Advanced Microsoft Office skills (Outlook, Word, Excel and Teams).
Highly Regarded:
Experience working within professional services or financial services.
Experience using Zoom Phone or similar cloud-based phone systems.
Experience using Canva.
Experience coordinating office operations across multiple teams.
