Our client is a global express and parcel delivery leader, operating one of the largest cross-border networks in the world alongside a thriving e-commerce delivery business. They are expanding rapidly across Australia and investing heavily in their local network.
About the Role
You will be responsible for the day-to-day running of the Sydney office, with a core focus on managing the full lifecycle of company fixed assets, from initial tagging and registration through to transfer and disposal, in close coordination with the finance team. Beyond asset management, you will oversee general office operations and act as the main point of contact for facilities, suppliers and contractors. The role suits someone who is detail-oriented, follows tasks through to completion, and takes ownership of the administrative function.
Key Responsibilities
Asset Management
Maintain the fixed asset register, covering computers, peripherals, furniture and operational equipment
Tag and register incoming assets promptly, recording model,
serial number, purchase date, cost, location and assigned user
Process asset allocation for new starters, transfers and leavers, and ensure all issue and return documentation is completed
Conduct regular physical audits, reconcile findings against the register, and escalation discrepancies to finance
Manage disposals and write-offs, including request forms, finance sign-off and disposal records
Keep the asset register and financial records in sync with the finance team, covering all movements, additions and disposals
Coordinate with vendors on warranties, repairs and maintenance, and keep service records current
General Office Administration
Manage day-to-day office operations, including facilities, supplier relationships and consumables procurement
Maintain a bilingual (English and Mandarin) filing and document management system
Coordinate meeting scheduling, travel and accommodation for management and visiting staff
Act as the primary contact for building management, service providers and contractors
Support the organisation of company events and internal activities
About You
Office administration background, with experience in fixed asset management or asset register maintenance an advantage
Detail-oriented and disciplined in record-keeping, with a structured approach to documentation
Comfortable working across departments, including finance, IT and operations
Proficient in Microsoft Office, particularly Excel; experience with an ERP or asset management system is a plus
Professional proficiency in both Mandarin and English, written and spoken, for bilingual communication across the business
Self-directed, able to prioritise independently, and follows tasks through to completion
