About the role
BM Doors, part of ARA Group is seeking a detail-oriented and organisedBid & Scheduling Coordinatorto join our dynamic administrative team on afull-time basis.
Based inQueanbeyan, NSW, this role is critical in ensuring tender deadlines are met, project opportunities are identified and work is effectively forecasted to support business growth.
Key responsibilities
Coordinate and manage all aspects of the tender and bid submission process, ensuring deadlines are met
Prepare, compile and submit tender documentation in accordance with client requirements
Develop and maintain a library of tender templates, documentation and supporting information
Review construction documentation, including floor plans, security documentation, fire, acoustic and finishes specifications
Assist in identifying suitable project solutions and pricing requirements for submissions
Proactively search tender databases and bid management platforms to identify new business opportunities
Liaise with clients regarding submission requirements, formatting, timelines, and requests for information
Respond to client enquiries before, during, and after tender submissions
Coordinate joint tender submissions with other business units and stakeholders
Work closely with management and project teams to forecast upcoming projects and support business planning activities
Prepare Master Door, Frame and Hardware Schedules for awarded projects
Manage the handover of successful tenders and project documentation to the Project Management team
What we're looking for
Advanced Microsoft Office skills, particularly Outlook, Word and Excel
Ability to obtain and maintain an NV1 Security Clearance
National Police Check with no disclosable outcomes
Proven experience in an administrative support role, preferably involving bid coordination, scheduling or project support
Robust organisational and time management skills with the ability to juggle multiple priorities simultaneously
Excellent written and verbal communication skills with the ability to interact professionally with internal and external contacts
Meticulous attention to detail and a commitment to accuracy in all tasks, particularly when handling bid documentation
Problem-solving mindset with the ability to anticipate issues and implement practical solutions
Familiarity with scheduling systems or project management tools is highly desirable
A proactive approach to work with the ability to work independently and as part of a team
