About the role
This is a hands‐on leadership position responsible for the effective day‐to‐day operation of the practice. The successful candidate will establish reliable systems, support clinicians and staff, maintain high patient‐service standards, and provide clear reporting to the practice directors.
The role may be structured as permanent full‐time or permanent part‐time for the right candidate. The agreed work pattern must provide reliable operational continuity.
Key Accountabilities
Lead, support and coordinate reception and administration staff, including rosters, training, performance and workflow allocation.
Oversee appointment, referral,



correspondence and patient‐service workflows for specialist clinics and neurodiagnostic services.
Maintain accurate Medicare, DVA, private, third‐party and other relevant billing processes.
Complete regular billing, payment‐allocation and bank/remittance reconciliation; investigate exceptions and report corrective actions.
Develop and maintain policies, procedures, checklists and quality‐improvement systems.
Manage privacy, records, complaints, incidents, work health and safety, and relevant compliance requirements.
Coordinate suppliers, service providers, facilities and clinician onboarding.
Provide practical weekly and monthly operational reporting to the directors.
Assist with reception duties when operationally necessary.
About you
You will be organised, calm, accountable and comfortable working in a developing practice where priorities must be translated into practical systems.
Essential
Demonstrated experience managing or coordinating a medical practice or comparable healthcare service.
Strong knowledge of medical administration, privacy and patient‐service standards.
Experience supervising staff, managing rosters and addressing performance or workflow issues.
Demonstrated billing, reconciliation and financial‐control capability.
Clear written and verbal communication, sound judgement and high attention to detail.
