Medical Practice Manager - Dermatology, Skin Cancer & Cosmetic Medicine

About the Role
Reporting directly to the CEO, you will lead the patient services, reception and administrative functions and take ownership of the clinic's daily operational performance.
This is a visible, hands-on leadership role.
You will understand what is happening across the clinic, act early when support is needed and step in during genuine peaks or unexpected absences.
Your primary focus will be leading the team, maintaining standards, strengthening systems and implementing practical improvements.
You will work closely with our doctors, nurses, dermal therapists, Workforce Coordinator and business leaders to create an organised environment that supports excellent patient care.
What You Will Own
Lead daily clinic operations, including patient flow, appointment utilisation, rostering, leave coverage, facilities and administrative readiness.
Coach and develop the patient services and reception team, set clear expectations and address performance matters early, fairly and respectfully.
Partner with the Workforce Coordinator on recruitment, onboarding and formal people processes,



while owning day-to-day team leadership and performance.
Maintain a consistently warm and professional patient journey, responding to concerns and complaints with empathy, sound judgement and appropriate escalation.
Oversee Medicare, private billing and relevant health fund processes, including rejected claims, missed billing, debtors, receipting, batching and reconciliations.
Monitor patient volumes, cancellations, capacity and operational efficiency, providing the CEO with concise reporting, practical recommendations and early notice of significant risks.
Maintain strong administrative compliance across privacy, patient records, incidents, workplace health and safety, and accreditation requirements.
Lead practical process improvements and support the structured introduction of new clinicians, services and systems when required.
About You
You are a practical operator and confident people leader who enjoys being close to the day-to-day activity of a medical practice.
You notice what needs attention, make sensible decisions and follow through.
You combine warmth with accountability, support people while maintaining clear standards, and know when to act independently and when to Escalate.
You will bring:
At least three years of recent experience as a Medical Practice Manager, Clinic Manager or comparable senior healthcare operations leader.




Demonstrated experience directly leading a medical reception, patient services or administration team.
Strong working knowledge of Medicare and private medical billing, including exceptions, reconciliations, debtors and missed billing.
Proven experience with rostering, team development, performance management, patient complaints, incidents and operational risk.
Confidence interpreting operational and financial information and reporting clearly to senior leadership.
Proficiency with medical practice management and billing software.
Robust proficiency with Microsoft 365, particularly Outlook, Teams, Word and Excel.
Sound knowledge of patient privacy, confidentiality and health record requirements.
Experience within specialist medicine, dermatology, skin cancer, cosmetic medicine, medical aesthetics, plastic or cosmetic surgery, or premium private healthcare will be highly regarded.
A qualification in Practice Management, Business Administration, Health Administration or a related field will also be well regarded.
Current First Aid and CPR certification, or willingness to obtain these promptly, is required.
