Part-Time Office Administrator

About You
You are a highly organised and proactive administrator who thrives in a busy and diverse role. You enjoy being the first point of contact for clients, visitors and colleagues, creating a professional and welcoming experience while ensuring the office runs smoothly behind the scenes.
You have exceptional attention to detail, strong communication skills and the ability to manage multiple priorities with confidence. Comfortable working across administration and finance in an events environment, you take pride in maintaining accurate records,



managing processes efficiently and finding ways to improve systems and workflows.
To be successful in this role, you will bring:
Previous experience in office administration, reception or a similar role (minimum 2 years)
Excellent customer service and front-of-house skills
Strong written and verbal communication abilities
Exceptional organisational and time management skills
A high level of professionalism, discretion and confidentiality
Experience managing contracts, subscriptions, licences or service providers (desirable)
Strong technology skills and the ability to quickly learn new systems
A proactive approach to problem-solving and continuous improvement
The ability to build positive relationships with internal and external stakeholders
A willingness to support the event and business development teams
Most importantly, you are someone who anticipates needs, takes initiative, enjoys helping others and is eager to learn and grow within a dynamic and collaborative environment.
What Will I Do?
As our Office Administrator, you will play a pivotal role in supporting the day-to-day operations of the business. Reporting to the Financial Controller,



you will be responsible for delivering professional reception services, coordinating office operations, providing finance and administrative support.
This is a part-time position based in our Sydney head office.
Key responsibilities include:
Office Reception and Administration
Serve as the first point of contact for phone enquiries, visitors and general correspondence
Coordinate meeting rooms, boardroom setups, hospitality and office events
Manage office supplies, stationery and procurement requirements
Liaise with building management, contractors and service providers to maintain a safe and professional workplace
Maintain staff records, contact lists and office systems
Manage incoming and outgoing mail and general office communications
Provide administrative and research support to the Events, Business Development and wider teams.
Finance Support
Manage software subscriptions, licences, service agreements and renewals
Monitor recurring expenses and identify opportunities for efficiencies and cost savings
Coordinate business insurance renewals and maintain policy records
Administer the company phone system and liaise with service providers
Assist with budget tracking and office-related expense management
This is a diverse and hands-on role offering the opportunity to make a meaningful contribution across multiple areas of the business while developing your skills in administration and office management.
