Specialist Medical Receptionist (Full Time)

At Bend Orthopaedics, we provide exceptional, patient-centred orthopaedic care to our community. As our practice continues to grow across surgical services, specialist clinics, and new service lines, we are looking for an experienced medical receptionist to join our friendly and supportive team.
This is an important role within our practice. As the first point of contact for our patients, you will help create a warm, welcoming, and professional experience from the very first interaction. Your ability to communicate with empathy, stay organised in a busy environment, and keep our clinics running smoothly will be central to upholding the patient-centred values of Bend Orthopaedics.
About the Role
This is a hands-on role suited to an experienced medical receptionist who enjoys working in a fast-paced specialist practice and takes pride in delivering exceptional patient service.
You will manage the day-to-day flow of our busy reception, coordinating appointments, answering patient enquiries, supporting clinic operations, and working closely with our surgeon, nursing team, and Practice Manager to ensure every patient receives outstanding care.
You will also have the opportunity to support our growing medico-legal service by coordinating enquiries and appointments between patients, law firms, insurers, and our internal team.
As our practice continues to grow, there will be opportunities to expand your skills and take on additional responsibilities over time.
Key Responsibilities
Welcome patients and provide a friendly, professional first point of contact
Manage patient check-in and check-out processes
Answer high-volume phone calls and respond to patient enquiries
Coordinate appointments, clinic schedules, and follow-up bookings
Prepare and coordinate surgery packs, clinic lists, theatre bookings,



and follow-up care
Process billing, including Medicare, DVA, WorkCover, and medico-legal accounts
Work collaboratively with surgeon, nursing staff, and the administrative team to ensure smooth clinic operations
Maintain accurate patient records and uphold strict confidentiality
Identify opportunities to improve administrative processes and patient experience
Medico-Legal Coordination
Act as the first point of contact for medico-legal enquiries via phone and email
Coordinate appointments with patients, law firms, insurers, and the internal medico-legal team
Ensure timely, accurate communication between all stakeholders
Maintain confidentiality and compliance with healthcare and legal requirements
About You
You are someone who genuinely enjoys helping people and understands the importance of making patients feel comfortable and cared for from the moment they contact our practice.
You will bring:
Previous experience as a medical receptionist, ideally within a specialist practice
Excellent communication and interpersonal skills
A warm, friendly, and professional approach with patients and colleagues
The ability to remain calm, organised, and efficient in a busy environment
Strong attention to detail and excellent organisational skills
Strong computer skills, with the confidence to navigate multiple programs efficiently in a fast-paced environment
A proactive attitude and willingness to learn and grow within the practice
