Dolphin Solutions is seeking a
Project Administrator
to join our dynamic team in Beresfield, NSW. This is a
full-time position
that plays a crucial role in supporting the smooth execution of construction projects. As Project Administrator, you will be the backbone of our project operations, ensuring all administrative and coordination tasks are completed efficiently to support our project teams and stakeholders. This role is essential to maintaining project timelines, documentation standards, and communication across all project phases.
What you'll be doing
Coordinating project schedules, timelines and milestones to ensure all parties are aware of key dates and deadlines
Maintaining comprehensive project documentation, including contracts, correspondence, meeting minutes and site records
Preparing project reports, budgets and financial forecasts under the guidance of senior project management staff
Liaising between project teams, clients, contractors and suppliers to facilitate effective communication
Processing purchase orders, invoices and other financial documentation in accordance with company procedures
Organising and attending project meetings, preparing agendas and distributing action items to relevant parties
Managing project files and ensuring all records are accurately filed and easily accessible
Assisting with compliance documentation, site inspections and project audits as required
Supporting the delivery of projects by identifying and escalating risks and issues to project managers
Utilising project management software and tools to track progress and maintain up-to-date project information
What we're looking for
A diploma or equivalent qualification in project management, business administration or a related field




Proven experience working in a construction or project-based environment, ideally in an administrative capacity
Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously
Excellent written and verbal communication skills with proficiency in professional correspondence
Proficiency in Microsoft Office applications, particularly Excel and Word, and experience with project management software
A meticulous attention to detail and commitment to maintaining accurate records and documentation
The ability to work independently whilst contributing effectively as part of a team
Strong problem-solving skills and a proactive approach to identifying solutions
Knowledge of construction terminology, processes and standard industry practices
A valid driver's license and willingness to visit project sites as required
