IHL Group is seeking an experienced and motivated
Fleet & Maintenance Coordinator
to join our growing team based in Badgerys Creek, NSW.
This is a key leadership role responsible for coordinating and managing all fleet repairs, servicing, maintenance, compliance, and workshop operations across our transport fleet. The successful candidate will work closely with our workshop team, including two full-time mechanics, to ensure all vehicles and equipment are maintained to the highest standard while maximising fleet availability and operational efficiency.
While a trade-qualified mechanic is preferred, it is not essential. However, strong mechanical knowledge and experience within fleet maintenance or transport operations are critical for success in this role.
Key Responsibilities
Coordinate all fleet repairs, servicing, and preventative maintenance activities.
Manage workshop operations and scheduling of maintenance programs.
Supervise and support two full-time mechanics to ensure workshop productivity and quality standards are maintained.
Liaise with mechanics, suppliers, contractors, and external service providers.
Monitor vehicle compliance requirements, registrations, inspections, and maintenance records.
Minimise vehicle downtime through proactive maintenance planning and scheduling.
Manage vehicle breakdowns and urgent repair requirements.
Maintain accurate maintenance documentation, service records, and reporting.
Review, verify, and approve all internal and external maintenance and repair invoices.
Allocate maintenance and repair costs accurately across fleet assets, departments, and cost centres.
Monitor maintenance expenditure and assist with fleet budget management and reporting.
Assist with fleet asset management, lifecycle planning, and vehicle replacement programs.
Identify opportunities to improve fleet reliability, efficiency, and maintenance processes.
Ensure workshop and maintenance activities comply with all relevant safety and regulatory requirements.
About You
Previous experience in a Fleet Coordinator, Maintenance Coordinator, Workshop Manager, Fleet Manager, or similar role.
Strong mechanical knowledge is essential.
Trade-qualified mechanic highly regarded but not essential.
Experience within the transport, logistics, or heavy vehicle industry preferred.
Solid organisational and planning skills with the ability to manage competing priorities.
Excellent communication and stakeholder management abilities.
Strong attention to detail and problem-solving skills.
Competent computer skills and experience maintaining accurate records and reports.
A proactive approach with a strong focus on safety, compliance, and operational performance.
