Client Experience & Marketing Coordinator
About the Role
We're looking for a polished, personable, and driven Client Experience & Marketing Coordinator to become the face of our premium longevity and regenerative medicine clinic. This is far more than a traditional reception role. You'll be responsible for delivering an exceptional client experience from the very first interaction, converting enquiries into appointments, and helping grow the business through local marketing initiatives and engaging content. Working closely with the Business Manager and clinical team, you'll play a key role in shaping how our brand is experienced both inside and outside the clinic.
Key Responsibilities
Client Experience
Deliver a warm, professional, and premium experience for every client from first contact through to ongoing care.
Welcome clients and ensure the clinic maintains a high standard of presentation and service.
Manage incoming calls, emails, enquiries, and appointment bookings.
Coordinate the daily clinic schedule and support smooth clinic operations.
Build lasting relationships that encourage client loyalty and referrals.
Sales & Client Conversion
Respond to enquiries promptly and confidently convert leads into booked consultations.
Educate prospective clients about the clinic's services and treatment offerings.
Support initiatives that improve client retention and overall clinic growth.
Identify opportunities to enhance the customer journey and maximise conversion rates.
Marketing & Brand Growth
Assist with planning and executing local marketing campaigns.
Build community relationships through partnerships, networking, and local events.
Support the creation of engaging social media content that reflects the brand.
Coordinate promotional activities and marketing initiatives.
Represent the business professionally at events and community engagements.
Administration




Maintain accurate client records and appointment schedules.
Coordinate client communications before and after appointments.
Support the wider team with administrative tasks as required.
Ensure clinic systems and processes operate efficiently.
Skills & Experience: Essential
Previous experience in customer service, reception, hospitality, retail, events, or another client-facing environment.
Excellent communication and interpersonal skills.
Strong sales or client relationship skills with the ability to convert enquiries into bookings.
Highly organised with excellent attention to detail.
Confident using Microsoft Office and learning new systems.
Ability to multitask in a fast-paced environment.
Highly Desirable
Experience within healthcare, aesthetics, wellness, or premium service industries.
Experience with social media management and content creation.
Knowledge of local marketing and community engagement.
Experience with CRM or booking systems.
