Remarkable Minds Psychology is an award-winning child and family psychology practice based in Kogarah, with consultants also travelling Sydney-wide for school-based and in‐home services.
We provide therapy, assessments and behaviour consultations to children, adolescents and families, built on a straightforward belief: every family deserves a truly remarkable standard of care.
We're a growing practice, and we're now looking for an Administrative Assistant who shares that same commitment to excellence.
About the Role
As our Administrative Assistant, you'll be the first point of contact for our families and play a key role in shaping every client's experience with the practice.
This is a fast‐paced, varied role that requires sound judgement, initiative, and the ability to manage changing priorities with confidence.
Working closely with Management and our clinical team, you'll support clients throughout their journey, from their initial enquiry through to ongoing appointments, billing, and day‐to‐day administrative support.
Your key responsibilities will include:
Answering calls and emails with a friendly, professional manner and managing client enquiries
Diary and calendar management, including booking and coordinating appointments across our clinician team
Processing NDIS service bookings, funding administration and billing through Zanda
Managing invoicing and receipting of consultations, and following up outstanding payments
Liaising with clients, support coordinators,



plan managers and schools
General administrative support, filing and maintaining accurate client records
Assisting with the professional presentation of the practice
Supporting Management with day‐to‐day tasks as needed
About You
We're looking for someone who takes real pride in their work, with the accuracy and organisation to match.
You'll thrive in this role if you have:
Excellent customer service skills with a warm, professional phone and email manner
Strong organisational skills and the ability to manage multiple priorities
High attention to detail and accuracy
Confidence using Microsoft Office and practice management software (experience with Zanda is an advantage, not essential)
The ability to work independently while contributing to a small, supportive team
Sound judgement, problem‐solving skills, and the ability to stay calm and think on your feet in a fast‐paced environment
Experience with NDIS administration and billing is highly regarded but not essential, as full training will be provided
