Client Services Manager | Financial Planning | Hybrid | Client-Focused Team

We're looking for a proactive Client Services Manager to join our Private Client Advisory team. You'll play a critical role in supporting advisers and clients, managing administration across investments, insurance and superannuation, and helping deliver exceptional client service.
This is an excellent opportunity for someone who thrives on building relationships, enjoys speaking with clients, is highly organised, and brings a curious mindset to solving problems and delivering positive outcomes.
This is a full time position, with flexibility to consider a part‐time (four‐day) arrangement for the right candidate.

The Opportunity
We're looking for a proactive and client‐focused Client Services Manager to join our Private Client Advisory team.

Key Responsibilities
In this role, you will be responsible for delivering exceptional client service while ensuring the smooth day‐to‐day administration of our financial planning practice. Your responsibilities will include but are not limited to:
Deliver exceptional service and support to clients throughout their financial advice journey. Preparing client documentation with a high level of accuracy and compliance standard.
Act as a first point of contact for clients, problem solving and managing communications a professional and timely manner.
Build and maintain positive relationships with clients, advisers and external stakeholders.
Prepare, process and manage client documentation relating to investments, superannuation, insurance and financial advice recommendations including quotations, application documents and client reporting.
Manage day‐to‐day administrative tasks, including data entry, document management, record maintenance and calendar coordination.
Liaise with product providers, insurers, platforms and other external parties to obtain information and progress client requests.
Monitor outstanding tasks and proactively follow up on client matters to ensure positive outcomes and timely resolutions.
Identify and resolve issues independently, escalating only when appropriate.
Ensure all work is completed accurately, compliantly and in accordance with internal policies and industry requirements.
About You
You're more than an administrator - you're someone who takes pride in delivering exceptional client experiences and ensuring every detail is managed accurately and professionally.
You bring:
Minimum 3 years' Client Service Manager experience within the financial planning industry.
Detailed knowledge and understanding of insurance, superannuation and advice implementation processes will be highly regarded
Exceptional attention to detail and a commitment to producing high-quality, accurate work
A genuine passion for achieving positive client outcomes and creating outstanding service experiences
Confidence communicating with clients over the phone, building rapport and managing enquiries professionally
A naturally curious mindset and desire to continuously learn about financial planning, investments, insurance and superannuation
Robust independent problem-solving skills and the ability to take ownership of tasks through to completion
The ability to identify issues, investigate solutions and proactively follow up when required
Excellent organisational skills and the capability to manage competing priorities effectively
A collaborative approach while remaining self‐motivated and accountable for your work
Experience with XPlan, Xeppo, Captegra or similar CRM systems (highly regarded)
