This isn't a role where you'll slot into an existing system and follow someone else's process. This is a chance to be part of something from the very beginning, to help shape how our finance and administration operation runs, to build the foundations that will underpin our growth, and to leave your mark on a business that genuinely values the people who help build it.
THE ROLE
Be the financial backbone of our operation.
As our Administration & Accounts Coordinator, you'll keep the financial and administrative engine of Nexa running smoothly, from processing invoices and managing creditor payments to supporting our import documentation and ensuring our records are always accurate and audit-ready. You'll be working directly with the leadership team in the early stages, which means real visibility, real responsibility, and real opportunity to grow as we do.
What you'll be doing:
Process accounts payable and receivable end-to-end, invoice management, payment runs, reconciliations, and creditor statements
Support import documentation including customs paperwork, freight invoices, and compliance records
Manage supplier and customer correspondence professionally and promptly, building strong relationships from day one
Maintain accurate financial records and support month-end close processes
Handle general office administration, scheduling, filing, data entry, and keeping things running like clockwork
Assist with payroll administration and employee records as required
Liaise with freight forwarders, suppliers, government agencies, and internal teams
Contribute ideas, flag issues early, and help us build admin and finance processes that actually work, we want people who think, not just execute
ABOUT YOU

You're organised, reliable, and detail-driven, the kind of person who stays on top of things before they become problems. You'll need:
Minimum 5 years' experience in an administration and/or accounts role
Solid understanding of accounts payable and receivable processes
Proficiency in accounting software, Oracle suiteor similar
Strong Microsoft Office skills, particularly Excel and Outlook
Sharp attention to detail and the ability to juggle competing priorities without dropping the ball
Clear, confident communication skills, with suppliers, clients, and your own team
A self-starter attitude, in a start-up environment, initiative isn't optional
Desirable but not essential:
Experience in import, freight forwarding, automotive, or logistics
Exposure to customs documentation or international trade compliance
Certificate III or IV in Business Administration or Accounting
