Our client is one of the largest Australian-owned distributors of construction equipment, with a national dealer network boasting over 20 branches Australia-wide, providing new and used sales as well as machinery hire to the construction, mining and forestry industries. They are authorised dealers for more than 10 major OEM brands including ASV Posi-Track, JCB, XCMG, Develon and Fecon, stocking a wide range of machinery including excavators, loaders, skid steers, material handling equipment and graders.
Due to increased demand at our client's Rocklea dealership, we are seeking to appoint an experienced Service & Warranty Administrator to join their team.
About the Role
This is a diverse and integral support position responsible for providing administrative support to the Service Department while managing the dealership's warranty processes. Working closely with the Service Manager, technicians, customers and OEMs, you will assist in coordinating service administration, processing warranty claims, assisting with workshop scheduling and invoicing, and ensure the smooth day-to-day operation of the service department.
What You'll Do
Process and submit warranty claims to OEMs in accordance with manufacturer policies and documentation requirements.
Review job cards, technician worksheets, photos, testing information and parts usage to ensure warranty claim eligibility.
Create, process and close service work orders and ensure all documentation is completed accurately.
Assist with scheduling service bookings and coordinating technician workloads.



Liaise with customers regarding service bookings, job progress, completion times and warranty enquiries.
Coordinate parts availability with the Parts Department to support scheduled repairs and minimise downtime.
Prepare service quotations, customer estimates and invoices as required.
Monitor outstanding warranty claims, follow up on approvals and escape issues where necessary.
Maintain accurate service records, warranty registers and electronic filing systems.
Assist with the coordination and administration of product recalls, service bulletins and product improvement programmes.
Prepare service and warranty reports for management.
Provide general administrative support to the Service Department and assist other areas of the business when required.
What You'll Bring
Previous experience in a Service Administration, Warranty Administration, Service Advisor or dealership administration role.
Strong administrative skills with exceptional attention to detail and accuracy.
Experience within the construction equipment, heavy vehicle, agricultural, automotive or machinery industries will be highly regarded.




Ability to interpret technical information and workshop documentation (mechanical aptitude advantageous).
Excellent customer service and communication skills, both written and verbal. Strong organisational skills with the ability to manage multiple priorities in a rapid-paced environment.
Confident computer skills with experience using dealership management systems, Microsoft O﬋ce and the ability to quickly learn OEM software platforms.
A proactive, team-focused attitude with a willingness to support the wider business.
The Candidate
We are looking for someone who enjoys variety and thrives in a busy service environment. You will be equally comfortable assisting customers, supporting technicians, coordinating service administration and ensuring warranty claims are processed accurately, efficiently and within time constraints.
Previous experience within a dealership, OEM, heavy equipment, automotive, truck, agricultural or machinery service environment will be highly regarded. Candidates who are organised, process-driven and enjoy providing exceptional support to both customers and internal stakeholders will excel in this position.
Please note: The successful candidate must be motivated to support multiple areas of the business when required. A current Australian driver's licence is essential.
Remuneration
A competitive salary package is available and will be negotiated based on experience, with an expected salary range of:
$70,000 – $85,000 + Super
Working Hours: Monday – Friday, 7:30am – 4:00pm
