The Fleet, Radio, and Equipment Department at St John WA plays a critical role in ensuring the operational readiness and safety of the organization's statewide vehicle fleet.
Comprising a dedicated team of 30 skilled professionals, the department is responsible for managing over 1,000 ambulances and transport vehicles across Western Australia.
Their responsibilities include the full fit-out of vehicles with essential medical and emergency equipment, the installation and maintenance of advanced radio communication systems to support real-time coordination, and the integration of other vital technologies.
The team also oversees routine servicing, mechanical repairs, and preventative maintenance to ensure vehicles & medical equipment remain reliable and compliant with safety standards.
About the Role:
We are looking for a receptionist to join our State Control and Logistics department on a permanent full-time basis.
As the first point of contact for our stakeholders, you'll play a key role in creating a welcoming environment while providing efficient administrative and front-desk support for our Fleet, Radio and Equipment department.
The role is based at 5 Cowcher Place, Belmont, with working hours of 8:00 am to 4:00 pm.
You'll be part of a friendly and supportive team, working across a variety of interesting tasks.
What You'll Do:
Greet and welcome stakeholders in a courteous and professional manner
Answer and direct phone calls to the appropriate department or individual
Manage the Fleet, Radio & Equipment front desk and waiting area
Maintain Fleet, Radio & Equipment data records to an appropriate standard
Schedule appointments and manage the departments' appointment calendar
Support the department leadership team with the processing of invoices and maintain a tracker of department expenditure
Maintain a tidy and organised reception area

What You'll Need:
Proven experience in receptionist, administrative, or customer-facing roles, ideally within a fleet or logistics environment
Excellent communication skills, both verbal and written, with a professional and approachable manner
Strong organisational skills and keen attention to detail, especially when handling vehicle records, bookings, and documentation
Ability to manage multiple tasks efficiently in a dynamic, fast-paced setting
Confident using Microsoft Office and other fleet management or scheduling systems
Experience in processing invoices, reconciling accounts, and supporting basic financial administration
