About Our Business
Amazen Puzzles & Games is a family-owned specialty retailer that sells board games, jigsaws, toys and novelties.
We have been serving the Sunshine Coast for almost 30 years.
From our first store in Montville, we have grown to fifteen employees and four locations across Montville, Caloundra, Cotton Tree and Coolum, all within 45 minutes of one another.
A large part of our success over the years has been our focus on customer service, especially our commitment to helping customers find their next favourite board game.
Our Google reviews reflect this, with customers regularly commenting on our friendly staff, strong product knowledge and wide selection.
Some customers have shopped with us regularly for more than 20 years and many of our employees have been with us for more than 10 years.
As our business has grown, we have gradually invested in better systems and processes so that our staff can spend more time focusing on high-touch customer service in store and less time doing manual administration tasks.
The newly created Operations Coordinator role will continue this theme, allowing us to grow to more locations, with improved customer service and staff support at each site.
Position Overview
The Operations Coordinator will work closely with the owner to make sure Amazen's four stores remain staffed,



stocked and running smoothly.
The role is a combination of both:
day-to-day operational administration including workforce management, inventory control (the largest part of the job) and maintaining smooth operations instore; and
continuous improvement of the systems that support the business, making it easier to operate and more scalable over time
In addition to improving our instore experience for staff and customers, this will also free up the owner to devote more time to strategy and growth.
Though the work can largely be done from home with a work laptop and mobile phone provided by the business, the successful applicant is required to physically be in each of the four stores for at least half a day once per fortnight.
This is to ensure the Operations Coordinator is close to both customer and staff needs.
Travel costs associated with this will be covered by the business.
It's anticipated that most of this role can be completed during work regular work hours between 9am – 5pm Monday to Friday.
Some flexibility in working hours may be required however, including occasional evenings or weekends to support store trading hours and team needs.
Key Responsibilities
1. HR, Recruitment & Workforce Management
Coordinate recruitment for retail team members.
This is typically ~3-5 new casual retail staff members per year
Screen applications and organise interviews
Prepare employment documentation and onboarding
Train new staff in store procedures
Prepare and maintain staff rosters
Review and error check timesheets before payroll
Maintain employee records and documentation

Inventory Control and Purchasing - This will likely be the most time-consuming part of the role
Monitor stock levels and place purchase orders with suppliers
Receive supplier deliveries into inventory systems
Investigate damaged or missing deliveries and organise supplier credits
Identify slow-moving stock and recommend markdowns or clearance actions
Research new products through supplier catalogues, newsletters and customer requests
Assist with stocktakes and inventory accuracy
3. Store Operations
Coordinate maintenance and repairs with property managers, utilities and trades
Purchase store consumables and operating supplies
Improve systems to reduce repetitive work
Work with retail staff to ensure the stores are clean and well-presented
Work instore doing retail sales in situations where no other staff member is available (the owner has historically done this 2-5 days per year)
4. Continuous Improvement
Identify inefficient business processes
Develop practical improvements
Write standard operating procedures
Recommend software or automation opportunities
Assist with implementation of recent systems
Key Selection Criteria
Essential
Strong organisational skills
Can work independently from home
Able to attend each of our stores for half a day at least once per fortnight, sometimes on short notice.
A QLD driver's license and vehicle are required
Experience in retail administration or operation
Comfortable learning new software
Good problem solver
Because Christmas is our busiest period, the successful applicant will need to be able to commit to not taking holidays during November or December up until Christmas eve
