Complete Belting Solutions Pty Ltd is an Australian conveyor and asset maintenance management company that manufactures and supplies products and 24/7 services to industrial, construction, quarry and mine sites across Australia.
We are looking for a competent, highly organised and reliable Contracts Administrator to join our Melbourne team.
Based at our head office in Derrimut, this role is key to supporting the success of our project works (construction and mining) through the preparation and management of contract specific documentation, purchasing administration, collaboration with project managers during both initial tendering phase and throughout the life of the contract, as well as day to day communication with relevant contract stakeholders (internal and external).
This position will suit applicants with previous administration experience (contracts or otherwise) that thrive in a fast-paced environment, are strong communicators, are incredibly organised, are proactive problem-solvers and have exceptional attention to detail. The ability to work autonomously and take initiative is essential.
This role would see you:
manage, and ensure our compliance with, client vendor platforms, which includes human and plant equipment resource induction management and maintenance
prepare contract documentation including job packs, work methodologies, safety documentation, quality assurance documentation, quotations, equipment maintenance records, etc
prepare progress claims
undertake all contract reporting - i.e. sustainability, procurement and local jobs compliance reporting
assist in the monitoring contract performance to ensure all parties meet agreed obligations, milestones and deliverables
maintain accurate contract records, correspondence and supporting documentation
assist in human and plant/equipment resource allocation
undertake purchasing administration as relevant to client contracts
communicate as required with client stakeholder in relation to requirements of the contract
attend meetings with clients onsite and remotely as required
assist with variations requests
perform all ad hoc administrative tasks directly relating to the contract management of our clients
Skills and experience required:
Demonstrated administration experience in a B2B setting, with the ability to undertake a range of administrative tasks in a high-pressure environment
Previous experience specifically as a Contract Administrator within construction, engineering or industrial services would be looked upon favourably
Proficiency in using Microsoft Office applications and accounting software (esp. MYOB)
Experience with construction management platforms (3D Safety, Procore, Aconex or similar) would be looked upon favourably
High level of initiative and the ability to work autonomously
A willingness to be held accountable and take ownership ofthe role
Ability to plan, prioritise and work in a flexible and methodical way
Outstanding verbal and written communication skills
