ABOUT THE ROLE
We are looking for an experienced and proactive Administrative / Sales Support Officer to join our team in Dandenong. This is an equal mix of administration and sales support, sitting at the heart of our business operations and working closely with our sales team, production floor, and clients to ensure smooth day-to-day business functions.
This role is ideally suited to someone with 3 to 5 years of experience in a similar position who thrives in a fast-paced environment, takes pride in delivering exceptional customer service, and has a keen eye for detail.
WHAT YOU WILL DO
Handle inbound phone and email enquiries from clients, contractors, and suppliers in a professional and timely manner
Prepare, process, and follow up on quotes and customer orders from initial enquiry through to completion
Manage and maintain the CRM system, ensuring all customer interactions, follow-ups, and pipeline activities are accurately recorded and up to date
Proactively follow up with existing and prospective clients to support the sales team in converting leads and maintaining strong customer relationships
Assist the sales team with the preparation of proposals,
tenders, and client documentation
Liaise with the production and warehouse teams to provide clients with accurate lead times, order updates, and delivery information
Coordinate and manage incoming and outgoing correspondence, ensuring all communications are handled efficiently
Maintain accurate filing systems, databases, and records in line with company procedures
Support the broader team with general administrative duties including scheduling, reporting, and data entry
Identify opportunities to improve administrative and sales support processes and procedures
WHAT YOU NEED
Minimum 3 to 5 years of experience in an administrative, sales support, or customer service role
Strong written and verbal communication skills with a professional and confident phone manner
Proven experience with quoting, order processing, and managing customer enquiries end to end
Experience using a CRM system and maintaining accurate customer records
High level of organisational skills with the ability to manage multiple tasks and competing priorities
Proficient in Microsoft Office Suite including Word, Excel, and Outlook
Strong attention to detail and accuracy in all written correspondence and documentation
Ability to work both independently and collaboratively within a small, close-knit team
Experience in a manufacturing, construction, or industrial environment is highly regarded but not essential
Professional, reliable, and discreet - our clients operate within sensitive and high-security environments
REQUIRED LICENCES & CERTIFICATIONS
ESSENTIAL
Full working rights in Australia - candidates must hold the right to work in Australia on a permanent basis.
Driver's Licence - A current and valid Victorian Driver's Licence is preferred for occasional business-related travel.
PREFERRED
Certificate III or IV in Business Administration - Formal qualifications in business administration are highly regarded.
Experience with industry-specific software or ERP systems - Prior experience with job management or ERP platforms is advantageous.
WORK HOURS
Monday to Friday, 8:00 am - 4:30 pm (or as agreed)
REMUNERATION & PERKS
