About the Role
We are seeking an experienced Administrator/Customer Service Officer to join our Gold Coast team in our recently opened, state-of-the-art facility in the Health and Knowledge Precinct, Southport.
This is a fixed-term parental leave replacement position for approximately 12 months, or until the employee returns from Parental Leave.
As a key point of contact for the clinic, you will assist in providing a welcoming and professional experience for patients while supporting the smooth day-to-day operation of the practice.
Working in a busy and rewarding healthcare environment, you will be responsible for a range of administrative and customer service functions, ensuring patients receive a high standard of service and support throughout their journey with us.
The role requires robust organisational skills, attention to detail and a proactive approach, with a focus on maintaining efficient administrative processes and contributing to the overall success of the clinic.
Key Responsibilities
Support the day-to-day management of reception and administrative functions within a busy prosthetics and orthotics clinic.
Provide a welcoming and professional experience for clients, managing bookings, enquiries and general front-of-house activities.
Manage incoming and outgoing calls in a timely, professional and customer-focused manner.
Collaborate with clinicians and the wider team to support efficient clinic operations, business growth and a positive client experience.
Provide compassionate and high-quality customer service, ensuring clients and stakeholders feel supported throughout their interactions.
Liaise with internal and external stakeholders, responding to enquiries and requests efficiently with minimal supervision.
Maintain accurate client records and data entry within ERP systems (SAP Business One), including generating relevant reports as required.
Support clinicians with sales and administrative processes, including liaising with funding bodies to obtain approvals.
Coordinate the receipt and dispatch of goods, mail and relevant documentation.
Ensure the accuracy, integrity and confidentiality of clinical data and client records.
Work both independently and collaboratively across other SPAO clinic locations as required.
Skills & Experience
Minimum 3 years' experience in administration and/or customer service roles.
Experience within healthcare, medical administration or disability services is highly regarded and will be given priority consideration.
Knowledge of the NDIS and related processes is desirable.
A compassionate,
professional and client-focused approach with a commitment to delivering excellent service.
Strong problem-solving skills and the ability to manage competing priorities effectively.
Excellent organisational, time management and planning skills.
Strong attention to detail, analytical capability and experience with reporting.
Confident using a range of IT systems and learning new platforms.
Experience using SAP Business One or similar ERP systems is highly regarded.
Education & Training
Excellent written and verbal communication skills, with the ability to communicate professionally with clients, clinicians and stakeholders.
Strong attention to detail with the ability to manage competing priorities.
Intermediate to advanced proficiency across the Microsoft Office Suite.
Certificate or Diploma in Business Administration (or equivalent) is desirable.
