Business Support Assistant (Identified Position)
Permanent Full-Time | Hybrid (3 days office / 2 days WFH) | Old Toongabbie, NSW
Indigeco is partnering with a leading global healthcare organisation to recruit a Business Support Assistant for a permanent full-time opportunity based in Old Toongabbie.

About the Role
As the Business Support Assistant, you will provide essential administrative support across the business, working closely with stakeholders to ensure day-to-day operations run efficiently.
This is a varied role where no two days are the same.
You'll coordinate travel, meetings, onboarding, training activities, invoices, events and business support functions while contributing to projects and initiatives across the organisation.
Key Responsibilities
Coordinate domestic and international travel, including flights, accommodation, transfers and visas
Prepare qualified correspondence, reports, presentations and business documentation
Organise meetings, book meeting rooms and provide administrative support across the business
Coordinate conferences, team meetings and other business events
Support the ANZ training calendar, including attendee coordination, catering and training materials
Coordinate onboarding activities for new employees, including equipment, inductions and office setup
Prepare, monitor and track Grants & Donations documentation
Take minutes for leadership and management meetings
Organise catering and meeting logistics
Process employee expenses through Concur
Process invoices using Coupa and liaise with Accounts to ensure timely payment
Set up new suppliers and maintain compliance documentation
Provide high-quality administrative support across multiple business functions
About You
You are a proactive and highly organised administration professional who enjoys working in a fast-paced and collaborative environment.
You have excellent attention to detail, strong communication skills and enjoy supporting others.
You're confident managing multiple priorities, building positive relationships with stakeholders and finding practical solutions to keep things running efficiently.Skills & Experience
Previous experience in a Personal Assistant (PA), Executive Assistant (EA) or Administrative Support role
Advanced Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint and Teams
Strong organisational, communication and multitasking skills
Experience using digital collaboration and virtual meeting platforms
Ability to manage competing priorities while maintaining accuracy and professionalism
Experience with Concur and Coupa will be highly regarded, but is not essential as training will be provided
