Our Surgeon has an exceptional career opportunity for a candidate with exceptional
customer service traits. We are looking for a candidate who is extremely confident and
proud of their people skills, particularly when assisting the Surgeon on a weekly basis with
face to face marketing to GPs (Eastern suburbs of Melbourne). They also take pride in being
a gatekeeper for the Surgeon, allowing the Surgeon to do what they do best and the
Secretary to take care of all administration tasks.

We are a new medical practice led by an established Surgeon (Orthopaedic, foot and ankle),
in the Eastern suburbs area. Our practice mission is to make a difference in our patients
lives, to provide them with empathy and support during their patient journey.
Our practice benefits from convenient WFH options and onsite presence when undertaking
consulting sessions. Utilising your internet, you will be supplied with a laptop and practice
mobile to utilise when working from home, and onsite.
Rooms with Style's Virtual Reception team is currently looking after this Surgeon, and will
provide handover training for this role.
About You:
We're looking for a warm, engaging and capable Medical Secretary who is excited by the
opportunity to grow with the practice. This role will suit someone with a warm empathetic
manner, strong attention to detail, selfmotivated, patientfocused and bubbly, who enjoys
contributing to a modern, paperless practice.



You will be central to building efficient
systems and processes that support highperforming operations and consistently excellent
patient care.
Key Qualifications and Attributes:
Demonstrated experience using medical software programs.
Outstanding communication skills coupled with a positive, proactive attitude.
Professional demeanour with exceptional customer service and high attention to
detail.
Brand ambassador attributes to assist the Surgeon onsite when visiting GPs and
hosting GP events.
Ability to work both independently and collaboratively, demonstrating strong
Experience with Theatre Booking, Quoting and Billing, including AMA rates, Gap and
Known Gap fees
Proficiency in troubleshooting and IT-related tasks.
Ability to excel under pressure in a fast-paced environment, while effectively
managing multiple tasks.
Has a car and a current drivers licence
Responsibilities:
Take the lead in the development and implementation of current practice systems and
processes.
Manage consultation sessions (including consultant billing) and warmly greet
Managing inbox, email, website, efax etc.
Provide exceptional customer service through effective phone/email communication
and patient interactions.
Coordinate patient appointments and manage scheduling.
Perform general administrative tasks, such as scanning,



faxing, sorting mail, and
Support Surgeon with various administrative and ad-hoc tasks.
Exhibit flexibility and dedication to accommodate Specialist and practice needs.
Working Hours:
Four days per week (the days off that you will have over a 4 week roster are: 2 x Thursdays ,
1x Friday, and 1x Tuesday.
The hours per day will be between 8:30am till 4:30pm/5:00pm (30 minute unpaid lunch
break). The practice runs over a 4 week roster.
Onsite attendance will be between, Epworth Eastern (3x a month), Richmond (2x a month),
Heidelberg (1x a month) and Blackburn (1x a month). You will travel weekly to assist the
surgeon at GP events located in the Eastern suburbs.
As this is a start up position, initially there will be over 50% of the working time WFH, as the
practice consulting session grows, this will reduce, but there will always be some
component of WFH each week.
Parking provided - to be negotiated.
Pay rate:
$***** to $***** per hour plus super
