Elevate Psychology Collective is a clinical and forensic psychology clinic committed to providing compassionate, evidence-based mental health services to our community. About the role
We are seeking a friendly and organised Receptionist/Administration Assistant to join our team on a casual basis at our Goodwood clinic. This is an excellent opportunity for someone who thrives in a wellbeing environment and enjoys providing outstanding customer service. You will be the first point of contact for our clients, playing a crucial role in creating a positive and skilled experience.
Key responsibilities
Greeting clients arriving to EPC, facilitating completion of forms and assessments by clients, and directing access to amenities.
Responding to client phone calls and emails to the practice.
Facilitating client payment for services via HICAPS, Tyro, EFTPOS, cash or invoicing.
Managing psychologists' calendars and bookings for clients
Collating and maintaining waitlists for each psychologist, including new client waitlists and cancellation waitlists for ongoing clients
Corresponding with third parties and stakeholders, including but not limited to NDIS support coordinators and providers, healthcare providers, legal professionals, and government agencies including Department for Child Protection and Department for Correctional Services
Maintain accurate and up to date records in areas of responsibility and ensure that paper and electronic client and financial files and records are maintained in accordance with organizational and ethical requirements.
Payment and completing bookkeeping in practice management and accounting software (e.g. Cliniko and Xero).
Keeping stock of office stationery and supplies including testing forms and materials, placing orders where needed, and restocking of supplies.
What we're looking for
Previous reception or administrative experience, ideally in a healthcare, medical or legal setting (essential)
Knowledge of psychology or mental health services, and/or legal systems are highly regarded
Excellent communication skills with the ability to interact professionally with diverse clients
Strong organisational and time management abilities
Ability to take initiative and multi-task during busy periods
Proficiency with Microsoft suite, Cliniko and Tyro Online
Discretion and commitment to maintaining confidentiality in a sensitive healthcare environment
Attention to detail and accuracy in administrative tasks
Customer service orientation with a genuine desire to help others
A current Working With Children Check (essential)
