Legal Receptionist & Client Intake Officer
Emigrate Lawyers is a growing Australian law firm specialising in immigration law and family law.
We assist individuals, families and businesses with complex legal matters and are committed to providing responsive, practical and professional legal services.
Due to continued growth, we are seeking a confident, energetic and commercially minded Legal Receptionist and Client Intake Coordinator to join our Melbourne office on a full-time basis.
This is not a traditional reception-only role.
In addition to managing reception and administrative duties, you will be responsible for responding to new enquiries, following up prospective clients, encouraging suitable leads to book consultations and contributing to the firm's client-conversion and business-development goals.

About the Role
You will often be the first person a prospective client speaks with when contacting the firm.
You must be confident, professional and persuasive, with the ability to build rapport quickly and guide prospective clients towards booking and paying for an initial consultation.
You will manage enquiries received by telephone, email, website, social media and other communication channels.
You will be expected to follow up leads consistently, maintain accurate records and ensure that potential clients do not fall through the cracks.
This role is ideal for someone with strong reception, sales, customer-service, appointment-setting or client-conversion experience.
Key Responsibilities
1) Reception and Client Service
Answer incoming telephone calls, emails, website enquiries and social media enquiries promptly and professionally.
Welcome clients and visitors to the office.
Manage appointment bookings,
consultation calendars and meeting arrangements.
Obtain accurate preliminary information from prospective clients.
Process consultation payments and provide booking confirmations.
Maintain accurate client and enquiry records.
Assist lawyers and other team members with administrative tasks.
Maintain a skilled and welcoming reception area.
Handle sensitive and confidential information appropriately.
2) Lead Follow-Up and Consultation Bookings
Contact new leads promptly by telephone, email, SMS or other approved channels.
Follow up prospective clients who have made an enquiry but have not booked a consultation.
Follow up missed calls, incomplete booking requests and unpaid consultation bookings.
Explain the firm's consultation process, professional fees and next steps clearly.
Encourage suitable prospective clients to book and pay for an initial consultation.
Build rapport with prospective clients and respond confidently to common objections.
Maintain an organised follow-up schedule.
Re-engage previous enquiries where appropriate.
Record all contact attempts, outcomes and required follow-up actions.
3) Sales and Business Development Support
Contribute to consultation booking and client-conversion targets.
Communicate the firm's services, experience and value proposition confidently.
Identify genuine opportunities for the firm's immigration and family law services.
Work with management to improve enquiry handling and conversion processes.
Provide regular reports on enquiries, follow-ups, bookings and conversion outcomes.
Identify common client concerns and provide feedback to management.
Assist with client feedback, referrals and business-development initiatives.
Support the firm's continued growth through professional and ethical client engagement.
About You
We are looking for someone who is confident, motivated and comfortable working towards measurable results.
You should enjoy speaking with people, following up leads and encouraging prospective clients to take the next step.
The ideal candidate will have:
At least one year experience in reception, sales, customer service, appointment setting, client intake or a similar role.
Demonstrated experience converting enquiries into appointments, sales or paid services.
Excellent telephone and interpersonal communication skills.
Confidence
discussing fees and requesting payment.
Strong objection-handling and rapport-building skills.
A professional, warm and persuasive communication style.
Strong organisational skills and attention to detail.
The ability to manage a high volume of calls, enquiries and follow-up tasks.
Excellent written and spoken English.
Experience using Microsoft Office, Outlook, calendars and CRM or practice-management systems.
The ability to work independently and as part of a team.
Discretion and a strong understanding of confidentiality.
Resilience and the ability to remain calm when dealing with distressed or demanding clients.
Full Australian working rights.
Highly Regarded
The following will be highly regarded but are not essential:
Experience working in a law firm or professional-services business.
Experience in immigration law, family law or legal client intake.
Experience in recruitment, real estate, banking, insurance, medical reception or another conversion-focused environment.
Experience using Smokeball, LEAP, HubSpot, Salesforce, Lawmatics or another CRM.
Experience working towards booking, conversion or revenue targets.
A Certificate III or IV in Business, Business Administration, Legal Services, Customer Engagement or a related field.
Additional language skills.
