Doctors Secretarial Agency – Caulfield VIC
PERMANENT PART-TIME (Monday to Thursday)
Our client, a respected specialist Developmental and Behavioural Paediatric Practice, is seeking an experienced, highly organised and proactive Practice & Operations Manager to oversee the day-to-day operations of the practice while supporting its continued growth and development.
This is a hands-on leadership role suited to someone who thrives in a busy healthcare workplace and enjoys creating structure, leading people and ensuring operational excellence. While the primary focus is the smooth running of the practice, the successful candidate will also play an important role in supporting the practice's ongoing growth through clinician recruitment, strengthening referral relationships, and identifying opportunities to enhance services and operational capabilities.
Working closely with the senior clinicians, you will help maintain the collaborative, supportive and high-accountability culture that underpins the practice. You will lead by example, fostering an environment where professionalism, kindness, humour, mutual respect and exceptional patient care are equally valued, while supporting staff development and continuous improvement across the practice.
Key Responsibilities:
Lead the day-to-day operations of the practice, ensuring the delivery of efficient, high-quality administrative and patient support services.
Provide leadership, mentoring and ongoing support to the administration team, fostering a collaborative, professional and patient-focused culture.
Manage staff rostering, workflow allocation and daily operations to ensure the smooth running of the practice.
Coordinate the recruitment, onboarding, induction and training of clinical and administrative staff, supporting the continued growth of the practice.
Conduct staff performance reviews, provide coaching and facilitate professional development initiatives.
Develop, implement and maintain practice policies,
procedures and administrative systems to promote best practice and operational efficiency.
Review and continuously improve workflows, systems and processes to enhance productivity, service delivery and patient experience.
Work closely with the senior clinicians to coordinate consulting sessions and support the effective delivery of patient care.
Oversee practice administration including Medicare billing, accounts, banking, supplies and facilities management where required.
Ensure compliance with relevant legislation, privacy requirements and practice policies.
Manage operational issues while promoting a positive, respectful and solutions-focused workplace culture.
Maintain strong communication across the practice, ensuring effective collaboration between clinicians and administration staff.
Support the continued growth of the practice by assisting with clinician recruitment, maintaining strong referral relationships and identifying opportunities to improve operational capability and expand services.
Assist the senior clinicians in implementing initiatives that strengthen the long-term success and sustainability of the practice.
Prepare operational reports and provide administrative support to the senior clinicians as required.
Contribute to a welcoming, organised and compassionate environment that reflects the practice's commitment to exceptional patient care.
About You:
You enjoy working in a hands-on environment and understand that in a growing specialist practice, no task is beneath anyone. You are equally comfortable supporting staff,
solving operational challenges and stepping in wherever needed to ensure the practice runs smoothly.
Importantly, you have a growth mindset. You are someone who enjoys improving systems, building capability and helping a practice evolve, but you remain firmly focused on practical implementation and delivering outcomes rather than simply generating ideas.
Ideally, you will bring:
Previous experience in practice management within healthcare.
Demonstrated ability to lead and manage teams within a clinical or professional services environment.
Experience in recruitment, onboarding and workforce coordination.
Strong organisational, leadership and communication skills.
The ability to bring structure, clarity and organisation to a busy specialist practice.
A proactive, solutions-focused approach with excellent problem-solving skills.
Experience supporting practice growth, clinician recruitment, service development or referral engagement will be highly regarded.
About the Practice
The practice provides specialist developmental and behavioural paediatric services to children, adolescents and young adults. The team works with patients and families experiencing neurodevelopmental, behavioural, emotional and educational challenges, often requiring coordination across healthcare, education and community systems.
The practice offers:
A highly professional and collaborative team culture.
Modern, well-appointed consulting rooms.
Strong administrative support structure.
A rewarding and meaningful clinical environment.
The opportunity to contribute to both the operational excellence and continued growth of a highly regarded specialist practice. This permanent part-time position is offered Monday to Thursday.
