We're looking for a proactive and customer focused Administration Assistant to join our Centre Management team.
In this role, you'll provide high quality administrative and financial support while delivering exceptional service to our retailers, customers, contractors, and internal stakeholders.
You'll play a key role in ensuring the smooth day to day operation of the centre, supporting financial processes, and helping bring the Vicinity brand to life through every interaction.
This is a fantastic opportunity for someone with strong administration and financial administration experience who is looking to further develop their career within a team-oriented and supportive environment.
What you'll be doing
As the Administration Assistant, you'll support the Centre Management team across a broad range of administrative and financial responsibilities, including:
Office Administration
Deliver outstanding customer service at the Centre Management Office and Guest Experience Desk.
Manage reception and phone enquiries.
Coordinate stationery, mail, couriers and office supplies.
Organise catering for meetings and centre events.
Manage lost property processes.
Prepare and distribute retailer communications and centre memorandums.
Maintain accurate filing systems and up-to-date tenant records.
Support daily administration activities across the centre management team.
Ensure office compliance requirements are maintained.
Participate in team meetings, daily huddles and centre walks.
Financial Administration
Provide efficient financial and administrative support to the Centre Management Office.
Process supplier invoices, procurement and accruals.
Support monthly reporting and financial administration activities.
Maintain monthly sales reporting and specialty tenant payment allocations.
Assist with accounts receivable and payable processes.
Manage gift card administration, including stock management and reconciliations.
Assist with tenant billings, recharge calculations and debt management.
Support public liability insurance administration and Bank Guarantee processes.
Maintain accurate financial records and reporting using accounting systems.
About You
You'll be an organised and detail-oriented administrator who enjoys working in a fast-paced environment and takes pride in delivering exceptional customer service.
You'll also bring:
Previous experience in administration, ideally within property, retail or a customer-focused environment.
Experience in financial administration, including accounts payable, accounts receivable or invoice processing.
Strong organisational skills with the ability to manage competing priorities.
Excellent communication and stakeholder management skills.
High attention to detail and strong problem-solving abilities.
Confidence using Microsoft Office and financial/accounting systems.
A positive, collaborative approach and a willingness to learn and grow.
