We are seeking an experienced
Senior Administration Officer
to join our team. This is a pivotal role that combines hands-on administrative expertise with the responsibility of supporting our operations team to achieve exceptional business outcomes.
About the Role
As our Senior Administration Officer, you will play a key role in ensuring the smooth day-to-day operation of the business. You will oversee administrative processes, support scheduling and project coordination, and work closely with management, supervisors and field crews to ensure efficient service delivery.
This is a fast-paced role that requires initiative, excellent organisational skills and the ability to manage competing priorities.
Key Responsibilities
Oversee daily administrative operations and office processes.
Support the scheduling and coordination of asphalt and civil works.
Provide administrative support to management and operational staff.
Coordinate the onboarding of new subcontractors, ensuring all required documentation, licences, insurances and compliance requirements are obtained and maintained.
Manage the onboarding of new customers, including account setup and documentation.
Drive process improvements to increase efficiency and productivity.
Act as a key point of contact for customers, suppliers and internal stakeholders.
Ensure high-quality customer service via phone and email.
Assist with invoicing,
purchase orders and general office administration.
Support project coordination and workflow management using Trello.
Assist with various administrative tasks as required to support business operations.
About You
To be successful in this role, you will have:
Proven experience in a senior administration or office management position.
Previous experience preparing quotations and assisting with scheduling works.
Outstanding organisational and time management skills.
Experience coordinating subcontractor and customer onboarding processes.
Strong understanding of compliance documentation, including insurances, licences and contractor engagement requirements.
Ability to manage confidential information with a high level of accuracy and attention to detail.
Strong written and verbal communication skills.
A professional and confident telephone manner.
The ability to work independently while supporting a collaborative team.
Excellent attention to detail and problem-solving skills.
The ability to manage multiple priorities in a fast-paced environment.
Strong proficiency in Microsoft Office (Word, Excel and Outlook).
Experience using Xero and Trello.
Previous experience within the construction industry, particularly asphalt, civil or concrete.
Knowledge of construction scheduling and operational workflows.
Experience working with subcontractors, suppliers and project teams.
Work in a supportive and cooperative team environment.
