About the Role
We are seeking an experienced and proactive Practice Manager to lead the day-to-day operations of a busy and growing Women's Health practice.
Working primarily from one location while supporting a second site remotely, you will lead with confidence, oversee patient flow to provide an exceptional patient experience, lead administrative operations, with a focus on growth and sustainability.
Key Responsibilities
• Lead and support the administration and clinical teams
• Co-ordinate and oversee patient flow and clinic operations
• Maximise utilisation of specialist, GP and allied health clinics by optimising appointment availability and reduce unbooked clinic time
• Manage the scheduling, capacity planning and practitioner appointment diaries
• Provide operational oversight for a second location remotely
• Manage and ensure smooth practice workflows
• Oversee Medicare, billing and revenue processes
• Drive quality improvement initiatives and operational excellence
• Maintain strong relationships with referrers, hospitals and allied health providers
Essential Skills & Experience
• Previous Practice Manager or Senior Medical Administration experience
• Strong leadership and people management skills
• Experience in specialist medical practice operations
• Proficiency with Gentu practice management software is highly regarded
• Solid commercial acumen and clinic utilisation experience
• Excellent organisational, communication and problem-solving skills
• Knowledge of Medicare billing and compliance requirements
Key Performance Indicators (KPIs)
Success in this role will be measured through:
Leadership, engagement and retention of a high-performing administrative team
Revenue growth through effective billing, Medicare claiming and business performance management
Optimisation of practitioner schedules, appointment fill rates and capacity management
Maintenance of compliance, accreditation and clinical governance requirements
Implementation of operational improvements that increase efficiency, productivity and service quality
Achievement of clinic utilisation targets across specialist, GP and allied health services
Delivery of efficient patient flow, minimising wait times and enhancing the patient experience
Growth in patient volumes, referral pathways and service expansion opportunities
Achievement of patient satisfaction and service excellence benchmarks
Effective oversight and performance management of both practice locations, including remote operational support
