What we're looking for
We're seeking an experienced and motivated
Administration Team Leader
to oversee the effective running of our administration services, including Reception, Medical Records, invoicing, and broader administrative functions. This leadership role suits someone with strong operational oversight, a commitment to high‐quality service, and the ability to guide and develop a diverse administration team.
What you'll be doing
Lead, supervise, and support the administration team, ensuring service quality and productive daily operations
Provide ongoing mentoring, training, and performance appraisals
Manage administrative staffing levels in line with organisational needs
Maintain comprehensive knowledge of all administrative tasks to provide training and backup support
Oversee patient billing, health fund contracts, prosthesis billing, daily receipting, and aged debtors management
Ensure accurate and timely completion of all daily, weekly, monthly, and annual reporting
Maintain high standards in Medical Records management and compliance




Manage office supplies, petty cash, credit card receipts, and coordination of IT systems and contractors
Build and maintain strong relationships with doctors and practice managers, including monthly updates and theatre availability communications
Address customer issues and complaints in collaboration with the Director of Nursing
Support quality improvement, benchmarking activities, and accreditation processes
Liaise with building management on property matters and maintain security/access systems
Provide general reception support as needed and coordinate meals for patients and health practitioners
Assist with special administrative projects as requested by the Executive Team
About you
Minimum 5 years' experience across administrative and hospital reception functions
Demonstrated leadership experience within a team environment
Strong knowledge or experience in:
HR management principles
Workplace Health & Safety legislation
Quality Improvement processes
Medical Records administration
Private hospital fees, contracts, and invoicing
National Safety & Quality Health Service Standards (desirable)
Excellent organisational, time management, and decision making skills
Exceptional customer service and communication skills
High level of computer literacy and ability to manage administrative systems
Professional, proactive, and solutions focused approach
